Working under general supervision, the Maintenance Parts Room Supervisor is responsible for leading a clean, well-organized, and highly reliable spare parts system that powers confident equipment maintenance and proactive execution. This role oversees a small, growing team and owns the CMMS inventory structure, ensuring that parts are traceable, accurately stocked, and ready when needed. Success in this role includes reducing equipment downtime, supporting preventative maintenance, and enabling long-term reliability by aligning the parts strategy to safety, quality, and plant performance priorities. Employees in this position may interact with their leader several times a week to receive guidance and feedback. Most non-routine activities may require their leader’s advance approval, but routine decisions within the general scope of the role may be made independently.ESSENTIAL JOB DUTIES AND RESPONSIBILITIESLeadership & System Ownership
- Provide daily guidance, support, and accountability for Parts Specialists and others working in storeroom roles across CA Operations.
- Own the structure and health of the CMMS parts database, including consistent naming conventions, asset associations, vendor details, and usage history.
- Lead enforcement of best practices for parts security, issuing, returns, labeling, and traceability, aligned with GMP, SQF, and food safety standards.
- Serve as the primary resource for storeroom-related questions and support for mechanics, engineering, procurement, and continuous improvement (CI) teams.
- Oversee the receiving, labeling, and sanitary storage of all parts, ensuring clean, damage-free, and well-organized inventory that complies with food safety and 5S standards.
- Maintain secure access to all storage areas and ensure proper checkout, return, and documentation of issued parts.
- Track and improve inventory KPIs, including inventory accuracy, cycle count success rate, critical spare stockout rate, obsolete parts value, PM kit readiness rate, and CMMS part record accuracy.
- Lead monthly cycle counts and annual physical inventories; resolve discrepancies and ensure audit readiness.
- Partner with planners and mechanics to ensure all preventative maintenance kits are complete and available prior to scheduled work.
- Conduct weekly audits of PM kit readiness and improve availability metrics to support consistent and effective PM execution.
- Ensure critical spare parts are available and quickly accessible to support urgent breakdown response.
- Implement a structured stocking strategy based on part criticality, equipment priority, lead time, and historical usage.
- Lead efforts to consolidate or remove obsolete, slow-moving, or redundant parts to improve storeroom efficiency.
- Monitor and reduce MRO inventory value over time while improving turnover and ensuring availability of key spares.
- Recommend changes to vendor contracts and purchasing practices to improve cost-effectiveness and reduce waste.
- Monitor on-hand inventory of critical spares and initiate timely purchase requisitions to avoid stockouts.
- Collaborate with Procurement to source, negotiate, and expedite parts orders based on production demand and vendor reliability.
- Partner with Accounts Payable to support accurate invoice matching and timely payments.
- Write and maintain standard operating procedures (SOPs) for receiving, issuing, labeling, and handling parts to ensure consistency across all CA Operations sites.
- Apply 5S, lean, and visual management principles to create a clean, intuitive, and audit-ready storeroom environment.
- Partner with CI, Engineering, and Reliability teams to support equipment loss elimination and long-term asset care strategies.
- Contribute to digital upgrades and enhancements that improve CMMS performance and reduce manual processes.
- Perform other duties as required or assigned which are reasonably within the scope of this role.
- High school diploma or GED required; associate’s or technical degree preferred.
- At least 5 years of experience in industrial maintenance, warehousing, or parts inventory leadership required.
- At least 2 years of experience supervising others or owning system-level responsibilities (CMMS, audits, procurement) required.
- Experience in food manufacturing, GMP/SQF-compliant, or highly regulated environments strongly preferred.
- CMMS proficiency required; SOMAX experience preferred.
- Ability to lift up to 50 lbs.
- Ability to stand, walk, or bend during storeroom inspections or inventory counts.
- Ability to travel up to 10% of the time.
- Proficient ability to manage inventory control, storeroom security, and part traceability.
- Proficient ability to communicate clearly and confidently with cross-functional partners including mechanics, planners, procurement, and suppliers.
- Working understanding of basic mechanical parts, labeling systems, and equipment manuals.
- Proficient ability to organize, coach, and elevate the performance of others through structured systems and hands-on leadership.
