- Oversee maintenance staff for of all branches, corporate offices, and operation centers.
- Manage building systems including HVAC, electrical, plumbing, elevators, and fire safety systems.
- Lead and manage the Office Services department, including staff responsible for mailroom operations, internal distribution, supply fulfillment, shipping/receiving, and courier coordination.
- Supervise the Digital Document Scanning team, including staff handling document intake, preparation, scanning, indexing, quality control (QC), and secure storage/disposal of sensitive materials.
- Monitor performance, and provide coaching, training, and development for direct reports across facilities and office services functions.
- Ensure proper staffing, shift scheduling, and workload distribution to maintain service-level agreements and operational efficiency.
- Develop and implement facility management policies and procedures in line with banking regulations and internal risk standards.
- Oversee procurement and inventory management for office supplies, printing materials, mailroom equipment, and scanning hardware/software.
- Ensure compliance with internal data privacy and security standards in the handling of physical and scanned documents, particularly client financial records and sensitive correspondence.
- Coordinate with external vendors and contractors for repairs, renovations, cleaning, and specialized services such as bulk mail or archival storage.
- Maintain high standards of customer service and professionalism in support services delivered to internal departments.
- Monitor mailroom and scanning metrics to ensure timely processing, accurate indexing, and high-quality document imaging.
- Drive continuous improvement initiatives across office services, scanning workflows, and facilities operations, leveraging automation or digital solutions when appropriate.
- Prepare and manage the annual facilities and office services budget, including cost controls and vendor contract negotiations.
- Maintain business continuity plans for facilities and operational support functions, including emergency response, backup scanning locations, and contingency plans for critical services.
- Conduct regular inspections and audits of facilities and departmental processes to identify hazards, inefficiencies, or compliance risks.
- Collaborate with IT, Security, HR, and department leaders to ensure workplace needs are met and services are aligned with organizational goals.
- Participates in and completes training objectives with passing scores.
- Work independently and efficiently on duties assigned.
- Follow all Riverview policies and procedures.
- Lead or participate in project teams - including bank employees and outside vendors.
- Complete projects as assigned by Supervisor

- 3+ years of experience in facilities management, preferably in a regulated environment such as banking or financial services.
- Strong knowledge of building systems, safety codes, and environmental regulations.
- Experience with budgeting, project management, and vendor negotiation.
- Familiarity with facilities management software (e.g., CMMS, CAFM).
- Excellent organizational, problem-solving, and communication skills.
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from groups of managers, clients, clients, and the general public.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
- Ability to apply concepts of basic algebra and geometry.
- Proficient in Microsoft Word/Excel.
- Ability to understand components of Operational software programs
- Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
