Job Summary/Purpose of Job:The Accounting Specialist, under the supervision of the General Manager, processes and generates financial data for all dealership departments, which together represents the accurate financial condition of the business. Provides accurate reporting to the General Manager/Controller and is responsible for the accounting office and administrative functions of the Auto Dealer Group.Essential Roles:
  • Analyzes and organizes office operations and procedures.
  • Reconciles select accounts monthly.
  • Posts transactions to accounting records i.e., worksheet, ledger, and computer files.
  • Accesses computer files and compiles reports as requested.
  • Assist with processing all new and used vehicles for registration appropriately.
  • Verifies that funds have been collected and the correct lienholder paid off before processing title applications.
  • Prepares payoff checks for new vehicles and trade-ins.
  • Oversees listing of all outstanding title work. Reports to management on the status of any missing or problem titles and provides a current list of outstanding titles to the comptroller at the end of month.
  • Posts vehicle sales and purchases.
  • Processes/registers all vehicle warranties and extended service contracts.
  • Oversees collection of past due accounts.
  • Ensures that all manufacturer accounts including warranty claims, rebates, interest, protection, and co-op advertising accounts are current and accurate.
  • Assists with printing of monthly journals, schedules, and general ledger.
  • Participates in the preparation of short and long-term forecasts.
  • Assists in completion of annual audit.
  • Ensures compliance with all government regulations.
  • Prepare customer title and registrations.
  • Prepares sales tax reports, tax deposits and tax returns in a timely, accurate manner.
  • Stays abreast of current factory incentives and codes deliveries on dealership computer system accordingly.
  • Prepares sales commission detail reports.
  • Manages the payoff of vehicle floor plan and works with bank representatives.
  • Compiles information and prepares reports as requested by management and/or dealer principal.
  • Cross-trains a qualified substitute.
  • Maintains a professional appearance.
  • Other tasks as assigned.
Education and Experience
  • Two to four years related experience and/or training; or equivalent combination of education and experience.
  • Knowledge of Sales and Use Tax and Franchise taxes preferred.
  • Prior office environment experience in the automotive dealership industry is a plus.
Physical Requirements
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift to 15 lbs.
