We are looking for a detail-oriented, tech-savvy problem solver who values being part of a team. Reporting to the Senior Business Systems and Operations Manager, this position will be a part of the Finance & Operations team but work across all departments at Panorama.This is a full-time non-exempt position with a hybrid schedule working at Panorama’s office in Seattle, Washington a minimum of three days per week. The remainder of time can be worked remotely.Essential Duties & ResponsibilitiesOperations Management & Systems SupportTriage systems support requests from internal staffManage new user account set up and deactivationManage and update software and hardware inventoriesSupport updates to Panorama’s Intranet and the development of knowledge management processes and governance practicesDraft and maintain regular documentation of systems, processes, and training guidesManage regular updates and maintenance of Panorama’s Resource Portal, an external hub for fiscally sponsored partnersManage billing and inventory of subscriptions and software licenses and ensure expense allocation to correct program/budgetsSupport administration of subscriptions and software licenses for staffManage regular Salesforce data clean up and data import/export requests and assist with updating Salesforce records to ensure data hygiene of our CRMLead systems trainings for new employees during onboardingIn coordination with the Senior Business Systems & Operations Manager, support the review of new systems implementations/projects through research, coordination, notetaking, and project management as neededAssist with semi-annual security trainingsProvide ad hoc operational and administrative support as neededAdministrative SupportProvide in-office IT support (including troubleshooting issues with printers, Wi-Fi, video conferencing) and coordinate with Panorama’s external IT service provider as neededOversee and assist staff in the use of ‘hot desks’ and room bookingSupport coordination of in-office eventsCollect office mail and distribute it to appropriate staff, including collecting and depositing checksCoordinate with the People & Culture department and Panorama’s external IT service provider to collect and distribute equipment during employee on- and offboardingCoordinate with the building facilities as needed for maintenanceManage key & keycard inventoryServe as backup to the Senior Administrative Assistance when they are out of officeOrganizational Engagement & ParticipationExemplify qualities of Panorama’s Values, Culture and Mission as an impact player who:Proactively embrace challenges, fostering a culture of curiosity and continual learning.Contribute to team success and organizational growth by actively participating in various initiatives.Serve as a brand ambassador, representing the organization externally.Provide valuable insights for process improvement and the advancement of our mission.Offer timely input for the development of initiatives and knowledge sharing efforts.Ensure accurate data recording and information management across platforms.Engage in Learning & Development opportunities to enhance professional growth.Typical Knowledge, Skills, and AbilitiesEducation & ExperienceBachelor’s degree and a minimum of three years of relevant experience in operations, IT, customer service, project management, or related fieldInterest in business operations, process improvements, troubleshooting, as well as software applications and systems used by non-profitsFamiliarity with Salesforce or other CRMWorking knowledge of Microsoft Office products (and Excel in particular)Fluency in written and spoken EnglishIdeal Candidate QualitiesAbility to take initiative, problem-solve and work both independently and in a collaborative environmentExperience balancing competing priorities, adapting to changing deadlines or priorities, and identifying when to escalate an issueAbility to work directly with staff and translate technical terminology in simple languageAble to work in a dynamic environment, while maintaining close attention to detail and striving to build efficienciesInterest in continuous learning both in personal and professional growth with a commitment to diversity, equity, and inclusionDemonstrated passion for social impact issues, and interest in non-profit administrationDesired QualificationsBachelor's degree in business administration, non-profit administration, information technology, or other relevant fields, or equivalent work experienceExperience in a support role and/or IT support and has a passion for technologyExperience with Microsoft 365 and Asana encouragedAdditional language proficiencies welcomedThis job description is subject to change at anytime.Compensation & BenefitsThe starting salary for this role is between $62,000 and $68,000.
