PROJECT COORDINATOR/ADMINISTRATIVE ASSISTANT WANTED! (BRENTWOOD, TN)

compensation: $15 - $18 an hour based on experience

employment type: 30-40 hrs per week as required based on work load

Fast growing construction trade company in Brentwood, TN is seeking a project coordinator/administrative assistant. Duties and responsibilities include providing administrative support to ensure efficient operation of the office processes and individual project administration. This position supports employees through a variety of tasks related to project coordination and client requirements.

The key responsibilities of this position include: project set-up, scheduling painters, crew and materials coordination and anything required to get jobs produced on time, with high quality and exceptional customer satisfaction.

Key Responsibilities and Duties:

· Answer and direct phone calls

· Organize and schedule meetings and appointments

· Produce and distribute correspondence memos, letters, faxes and forms

· Develop and maintain a filing system

· Order office supplies

· Generate reports

· Handle multiple projects

· Prepare invoices

· Write letters and emails on behalf of other office staff

· Update social media on a daily basis

· Handle sensitive information in a confidential manner

· Take accurate minutes of meetings

· Coordinate office procedures

· Reply to email, telephone or face to face inquiries

· Develop and update administrative systems to make them more efficient

· Resolve administrative problems

· Receive, sort and distribute the mail

· Provide exceptional customer service

Required Skills and Attributes:

· Proven admin assistant experience

· Knowledge of office management systems and procedures

· Excellent time management skills and ability to multi-task and prioritize work

· Social media expertise( Instagram, Facebook, Google My Business and Yelp)

· Attention to details and problem solving skills

· Excellent written and verbal communication skills

· Strong organizational and planning skills

· Proficient in MS Office ( Excel is primary)

· At least 3 years of experience

· High school diploma or equivalent

· Punctual

· Teamwork

· Discretion and Judgement

· Patience

· Organized

· Bi-lingual preferred
