Are you ready to change the way the world moves?In this position...This Executive Assistant role supports the Vice President, HR Business Partners and the Vice President, Total Rewards within a global automotive company. The position requires a highly discreet, professional, and adaptable individual with excellent communication, time management, and problem-solving skills to manage complex administrative tasks and foster relationships across the organization. The ideal candidate will be a self-motivated learner eager to understand the broader HR and business functions.The successful candidate should have exceptional communication skills - both verbally and written - complete all tasks in a timely manner, understand how to prioritize, and be a problem solver. The candidate will need to understand the Company's global structure and will need to develop strong working relationships with other assistants, executive leaders, and operations partners. The candidate will be a valued member of the HR team and should be open to learning about the business beyond the day-to-day activities of the role, particularly across the HR Business Partner and Total Rewards functions.Responsibilities:What you'll do...Executive Support & Communication:
  • Identifies and accommodates executives' preferred working styles.
  • Partners with executives to enhance their efficiency and effectiveness, maintaining strong communication.
Calendar & Correspondence Management:
  • Manages executive calendars and correspondence, resolving scheduling conflicts promptly.
  • Keeps executives informed of calendar changes and updates.
  • Maintains, organizes, and archives Outlook communications and folders according to Company records and retention schedules.
  • Sorts, screens, and distributes incoming and outgoing mail, highlighting information of interest.
Travel & Expense Management:
  • Optimizes complex travel arrangements (transportation, accommodations, visas/passports) based on executive preferences.
  • Manages intricate itineraries, including changes, and completes related expense reports.
Meeting & Event Coordination:
  • Assists executives with meeting preparation, including material acquisition, distribution, and schedule adherence.
  • Obtains support for virtual attendees and manages media/other logistics for meetings.
  • Screens incoming calls and responds to emails as needed.
  • Greets and assists planned guests, and manages unannounced visitors.
  • Coordinates and manages various meetings and events (staff meetings, all-hands, off-sites, team gatherings), overseeing calendars, communication, technology, office space, logistics, and follow-up.
Information Management & Document Preparation:
  • Prepares, updates, and organizes information for reports, correspondence, presentations, and budgets.
  • Edits documents for accuracy, format, and material arrangement.
Team Integration & Special Projects:
  • Participates as an adjunct member of the executives' leadership teams, attending select meetings, taking notes, tracking assignments, and following up on action items.
  • Coordinates employee skip-level meetings and other interactions between executives and employees.
  • Assists with special projects as needed.
Qualifications:You'll have...
  • High school diploma or GED or equivalent combination of relevant education and experience.
  • 3+ years of experience as an executive assistant or project manager
  • 3+ years of Microsoft software experience (e.g., Outlook, SharePoint, OneDrive, PowerPoint, Word, Excel, and other related programs).

  • Excellent writing, editing, and proofreading skills
  • Learns new software systems and products/cloud tools with ease
  • Responsive, self-starter; takes initiative in resolving issues or concerns

  • Displays a high degree of integrity and maintains confidentiality of sensitive information
  • Works well independently with minimal supervision
  • Ability to work collegially and collaboratively within a team environment in an open-concept office area
  • Comfortable interacting with all levels of the organization, from executive leadership to individual contributors
  • Ability to plan, prioritize, and support multiple assignments simultaneously
  • Willingness and flexibility to support across all North America time zones
