  • High school diploma or equivalent
  • Minimum two years’ experience as a secretary, administrative assistant, or in another related office function.
  • Good communication skills to permit person to relate with referral agencies and to handle public relations responsibilities.
  • Good writing, spelling, verbal, and organizational skills.
  • Strong computer skills and proficiency with Microsoft Office programs.
  • Word processing and data entry experience.
  • Familiarity with copiers, multi-line telephone systems, fax machines, and scanners.
  • Excellent customer service skills.
  • Evidence of strong interpersonal skills with co-workers and the public is required.
  • Valid Montana Driver’s license.
  • Ability to pass Federal workplace drug and alcohol testing requirements.
PREFERRED:
  • Working experience in social services, law enforcement, or corrections.
  • Ability to type a minimum of 60 words per minute.
  • Experience working with offenders and/or similar field in a social services agency.
  • Experience working in a fast-paced office with a large amount of paper flow with strong organizational skills.
  • Proven ability to multitask.
SALARY AND BENEFITSThe current starting salary for the position is $16.00 per hour, although consideration will be given the successful candidate's experience and educational background.Anticipated Salary Increases in 2024:Based on DOC funding expectations, it is anticipated all permanent staff as of applicable effective date can anticipate $1.00 increase in July 2024.During the fall 2024 and based on agency financial status at the time, it can be anticipated for review of Cost of Living adjustment.Permanent full-time employees of Alternatives, Inc. are entitled to sick leave, vacation leave, individual health insurance, and retirement benefits. Alternatives, Inc. participates in the State Workers Compensation and Unemployment Insurance plans.Permanent part-time employees are entitled to a pro-rata share of benefits based on the percentage of full-time hours worked (full-time = 40 hours per week).Specific detail regarding benefits will be provided upon request at the time of interview or at the time of hire.DUTIES AND RESPONSIBILITIESGeneral Overview:The Front Desk Receptionist (FDR) is directly accountable to the Beta Jail Alternatives Supervisor.The Front Desk Receptionist is responsible for providing front desk support for the Administration, Beta, and Compass departments at ABC, including answering phones, scheduling clients and checking in appointments upon arrival.General Requirements:1. All employees of Alternatives, Inc. are responsible for reading and complying with standards and procedures in the following documents:a. Employee Handbookb. Standard Operating ProceduresSpecific Duties:
  • Greet the public, clients, and any others who call or stop by in a friendly, helpful manner.
  • Schedule clients for intakes and meetings with Beta staff members.
  • Act as first point of contact for all incoming phone calls. Screen calls, handling as many incidental issues/questions as possible, and route as necessary.
  • Document all contact with clients in electronic database.
  • Maintain calendars for the Beta and Compass programs. Perform secretarial duties to include gathering and entering client information into the database, taking enrollment photos, photocopying, stocking equipment, and completing purchases orders.
  • Upload all documents received to each client’s electronic casefile.
  • Process, track and manage the jail list.
  • File paperwork both electronically and hard copy. Ensure records are maintained to standard for security, confidentiality, and storage procedures.
  • Assist in all records duties as requested.
  • Respond to the needs of city/county attorney, judges, clerks, managers, officers, and treatment staff.
  • Provide coverage/backup with administrative tasks for Administrative Support staff in Beta and Compass.
  • Monitor daily staff whiteboard and ensure staff who are ill, on vacation, or put of office at meetings are accounted for.
  • Ensure that office signs are posted for unusual closings such as holidays, etc.
  • Download SCRAM client daily.
  • Ensure mail is processed in the main office and posted daily.
  • Process and keep track of all Beta Feedback/Evaluation forms for the BJAS.
  • Maintain all office forms and filing cabinets. Work directly with administrative support staff on ordering and tracking all office forms.
  • Act as primary contact person for maintenance and issues with the office copiers.
  • Assist with all other duties called upon by the AS to perform.
