- Responsible for serving as the point of contact for health center appointment scheduling and front office duties.
- Welcomes and assists all visitors when they arrive at the reception area.
- Answers and routes calls to the appropriate person, department or Agency.
- Optimizes patients' satisfaction, provider time, and treatment room utilization by scheduling appointments in appropriate appointment times for various Health Center services, including but not limited to medical, dental, podiatry, vision, and community partner clinics. Alongside Health Center Manager, arranges physician schedules to accommodate client availability.
- Assists patients with completing registration and other necessary paperwork, ensuring completeness of the patient record. Maintains patient accounts by obtaining, recording, and updating personal and initial financial information.
- Protects patients' rights by ensuring patient understanding of their rights and clinic responsibilities around privacy and information sharing, informed consent, and treatment costs; and by maintaining confidentiality of personal and financial information.
- Keeps patient appointments on schedule by notifying provider of patient's arrival, reviewing service delivery compared to schedule, and communicating with providers regarding any service delays.
- Supports patient access and attendance to appointments through appointment confirmation calls, following up on "no-shows", accommodation of walk-in appointments, and ensuring patient transportation or telecommunication capacity.
- Ensures documentation and availability of resources to support patient communication needs including translation services, disability accommodations, or other needs.
- Ensures availability of treatment information by filing and retrieving patient records. Responds to record requests from outside providers in accordance with applicable privacy laws.
- Maintains patient accounts by obtaining, recording, and updating personal and financial information. Maintains proper patient records through scanning, filing, and entering information into Health Center databases and other general office and administrative duties.
- Operates the front office desk at all times during clinic business hours.
- Comforts patients by anticipating patients' anxieties; answering patients' questions; notifying patients when there are delays and maintaining the reception area.
- Works with Health Center staff to ensure the quality delivery of health-related services. Actively participates in quality assurance reporting.
- Helps patients in distress by responding to emergencies.
- Maintains operations by following policies and procedures; reporting needed changes.
- Always maintains a professional demeanor with residents, donors, volunteers and other staff and conducts oneself in a manner consistent with the policies and principles of LSS.
- Perform all other duties as necessary and assigned.
- High School Diploma OR equivalent in Certified Medical Administrative Assistant (CMAA)
- Degree/Diploma + 2 years' experience in medical office front desk OR minimum 5 years in medical office front desk administration.
