The Fuel Card Administrator is responsible for managing and overseeing all aspects of the company’s fuel card program. This role serves as a key liaison between the fleet card provider and the business, ensuring smooth communication and efficient resolution of requests, issues, or concerns. This role includes administering new card requests, maintaining cardholder records, monitoring transactions, and reconciling fuel expenses. A strong focus will be placed on fraud prevention by reviewing monthly data. The ideal candidate is detail-oriented, organized, and skilled in prioritizing responsibilities.Responsibilities :
- Work with IT to resolve unit correction issues which including adding and removing vehicles from database
- Partner with Marketing and Communication department on fuel card training for the sales group
- Identify and investigate unusual or suspicious activity to prevent fraud
- Perform essential duties of the month-end close process accurately and in a timely matter
- Maintain regular contact with other departments to obtain and convey information and/or correct transactions
- Ensure compliance with controls to prevent misuse, fraud, and unauthorized fuel purchases
- Serve as the primary contact for ServiceNow requests related to fuels cards
- Review, prioritize, and resolve tickets within established service level agreements
- Match and update unmatched tickets to ensure expenses are posted to correct cost center
- Manage and resolve ServiceNow requests within established service level agreements
- Post journal entries related to fuel card transactions
- Ensure fuel expenses are properly coded
- Assist with training on fuel card procedures and provide user support materials
- Assist with policy updates Banking Backup
- Complete special projects and miscellaneous assignments as required

- Bachelor's degree preferred
- Four (4) years or more experience in accounting/financial with the H.S. Diploma required
- Three (3) years or more of working experience with the Associates degree preferred
- One (1) year or more of related experience with a Bachelor's degree preferred
- Thorough knowledge of tasks and responsibilities advanced required
- Strong attention to detail and organizational skills.
- Ability to prioritize and manage multiple responsibilities effectively.
- Proficiency in Excel (Vlookup, Pivot tables, Macros)
- Excellent communication skills, both verbal and written.
- Experience with fleet or fuel card programs is a plus.
