The primary mission of the Business Acceptance Unit ("BAU") is to process all new firm business while accurately and efficiently adhering to inception policies and procedures in line with legislation, case law, and regulatory requirements for a variety of jurisdictions. This includes conflicts of interest, anti-money laundering, ongoing client monitoring, sanctions checks, and other risk management functions. This role in particular assists with various administrative needs to carry out said duties such as managing the department helpline calls, email inbox inquiries, intranet website and documentation, updates to client and matter records in multiple databases, running simple conflicts searches, compiling and filing client due diligence packets, assisting with department events/meetings scheduling, and engaging in other data cleansing projects.ResponsibilitiesSpecific responsibilities include, but are not limited to:Managing Central Department Helpline Calls and Inbox Emails
  • Provide information and guidance on a wide variety of issues.
  • Appropriately escalate more complex queries to other staff and/or leadership.
  • Keep relevant stakeholders suitably informed of important information learned.
  • Ensure calls are satisfactorily logged and documented.
  • Adhere to service level agreements when possible, using pare-approved protocols/responses/templates.
  • Exercise sound judgement in responding to inquiries for which no structured protocol may exist and suggest how to fill such potential gaps.
  • Act as a representative/advocate for the department and helpline function, maintaining a professional standard and enhancing customer satisfaction.
  • Identify opportunities to further enhance customer satisfaction, including training opportunities.
Website Management and Related Documentation Maintenance
  • Ensure the customer website is appropriately monitored and relevant documentation/information is up to date.
  • Based on customer query trends, propose relevant training/FAQ material requirements for the website.
  • Help communicate to the wider BAU team any changes to the customer website.
Client and Matter Restrictions and Access Maintenance
  • Work within Intapp Walls and to create policies containing restrictions around clients and matters with confidentiality concerns or cleared conflicts of interest.
  • Provide and/or restrict certain employees access rights to locked down files within 3E.
  • Liaise with Risk Team Paralegals as necessary.
Conflicts, Sanctions, and (AML) Anti-Money Laundering Assistance
  • Creating/setting up Independent Searches for Analysts and Counsel in response to ad hoc inquiries and lateral/new hire checks.
  • Working within Intapp OPEN to process the less complex request types such as those submitted by the volume and aviation practice groups plus certain sub-matters, matter changes, and converted matters.
  • Use solid judgment to determine risks associated with new instructions and work with various attorneys when seeking clearance opinions on a variety of potential conflicts of interest and sanctions issues, escalating internally as appropriate and documenting everything along the way in the proper form.
  • Proactively follow up when seeking additional information or resolution from engagement teams or other stake holders around the firm.
  • Maintain and update the conflict search database as key information becomes apparent on existing matters.
  • Assist with AML client due diligence research, including on various online sites such as Westlaw, Orbis, BvD, World Compliance, and Google.
  • Performing ownership structure research of new client entities.
  • Complete AML/CDD forms and risk ratings, including the creation of bookmarked Risk Assessment Forms/research packets in Adobe, saving and archiving in all appropriate locations, with ongoing risk monitoring tasks.
  • Reviewing new client and matter forms ensuring satisfactory details are provided by the Case Handlers and querying instances where information is either incomplete or unclear.
Other Administration
  • Coordinate the scheduling of various department meetings, conference rooms, phone and video conferences, lunch orders, etc.
  • Maintain various spreadsheets for department tracking purposes, such as that for all potential U.S. lateral hires under consideration and for consent/file transfer/engagement letters for new hires bringing portable work with them.
  • Action specific systems administration tasks submitted to the helpdesk and inbox and as otherwise assigned.
  • Create and distribute regular reports, including re: department statistics in Microsoft Excel.
  • Support the regular update of reference grids and documentation used for internal and external department training.
  • Data entry, online and database research, data cleansing, and other ad-hoc duties as required.
Education
  • Associate's or Bachelor's Degree preferred.
Experience
  • Prior law office experience is preferred, but not required.
  • Prior experience in new business intake, conflicts, AML, risk, or compliance ideal but not required.
Skills
  • Strong MS Office skills, particularly Excel; previous database experience; accurate data entry skills; and meticulous attention to detail.
  • Strong customer focus, recognizing internal and external clients and the importance of service delivery, including when dealing with senior management and adhering to service level agreements.
  • Excellent communications skills, including error free written and spoken English spelling and grammar and skill at compiling a documented log of communication and clearance efforts for future audit purposes.
  • Ability to work as part of a team and assist others in achieving team objectives.
