The Advancement Operations Manager position focuses on optimizing donor database (Raiser's Edge) management in order to maximize fundraising potential to result in increased giving. This position ensures the smooth execution of all initiatives to raise both unrestricted and designated funds in support of the colleges' priorities.Minimum Qualifications
- Bachelor's Degree or higher in a relevant field. A minimum of five years of direct fundraising experience, preferably in an academic setting. Comprehensive, working knowledge, understanding and successful utilization of fundraising databases is necessary. Familiarity with Raiser's Edge preferred. Proficiency in all Microsoft Office applications required, comfort working in SCT Banner systems is preferred. We seek a highly organized professional with excellent written and oral communications, interpersonal and administrative skills and an advanced knowledge of process and procedures for fundraising, grants, and alumni programs. A keen ability to analyze data and translate to data-driven recommendations for effective fundraising strategies is required.
- Oversees the Office of Institutional Advancement/Foundation's information systems to ensure state-of-the-art current best practice and optimal performance for data-driven fundraising, cultivation, and stewardship programs. This includes consultation and planning, on-going operations, procedures, maintenance, data integrity, vendor relationships and training for staff.
- Analyze donor data to identify prospects and leverage industry trends to inform and help develop yearly and long-term fundraising strategy, plans, and outreach efforts that expand the Foundation's donor base and increase giving. Work with the team to plan and carry out successful fundraising projects including appeals, campaigns, stewardship plans, events and other initiatives.
- Oversees the delivery and execution of the Foundation's Annual Fund program, any other appeals and initiatives as may be directed. This includes messaging, mailing list segmentation, timelines, multi-channel marketing, timely appeal follow up, acknowledgement and stewardship. Collaborate with college departments such as Communications and Marketing to support shared projects, develop aligned messaging and create content for mailings and press releases.
- Coordinate efforts to gather, interpret, analyze, evaluate, disseminate and store relevant information about college constituents that apply to the work of the Foundation. Track donor interactions as well as information such as relocation, job changes, death, name changes, etc. to ensure up to date donor records in the data base. Share information with Advancement staff for appropriate stewardship, so that cards may be sent, flowers ordered etc.
- Donation batch processing gifts in a timely fashion, posting in Raiser's Edge to keep records current and facilitate the generation of acknowledgement letters. Coordinates acknowledgement letters with Advancement staff. Coordinates the preparation and maintenance of regular reports and required surveys (gift income, pledges, campaign, prospects, grant reporting, etc.) necessary to carry out the functions of the department. Assist in generating and distributing yearly reports for scholarship and other donors to keep them informed of their philanthropic investment in the college. Lead the production of the annual donor impact report and coordinate its distribution.
- Work with the Finance Manager to ensure compliance with CASE Reporting Standards and Management Guidelines including the CASE-VSE required by SUNY.
- Performs additional tasks as assigned.
- Preparation for and at Foundation events, nights and weekends as needed.
