The Biden for President Scheduling & Advance Team is hiring a Trip Coordinator to help build out and slate advance teams, support the operational requirements of advance teams while they are on travel supporting the campaign's events, and work with advance teams to close out trips. This role will require a highly organized individual who can balance multiple tasks and who can prioritize in a fast paced environment. While advance experience is a plus here, no experience is required to apply for this job. This role will require in person work.Key Responsibilities
  • Recruit and screen new advance associates and help coordinate their travel on trips.
  • Quickly and strategically build advance associate teams for trips to create opportunities for training and growth.
  • Manage and book flights/rental cars/hotels for advance associates and traveling staff. Select fiscally-prudent reservations and book travel that aligns with the campaign's travel policies.
  • Build advance team and traveling staff budgets and manage the budget approval process.
  • Arrange trainings on travel procedures and responsibilities.
  • Support advance teams on pre-trip logistics, collateral and materials delivery for advance sites, and documentation.
  • Manage the post-trip close-out including the shipment of materials back to HQ and other administrative tasks once a trip is complete.
Preferred Skills & Qualifications
  • Strong, concise, and efficient communicator.
  • Experience as an advance associate is a plus.
  • Strong trouble-shooting skills, particularly related to travel and operational logistics.
  • Highly organized with meticulous attention to detail; ability to juggle multiple tasks and keep moving forward on all of them at once.
  • Ability to work a flexible schedule as required for trip management.
