JSIS currently offers seven undergraduate majors, 14 minors, and nine interdisciplinary MA degrees, as well as a fee-based MA in applied international studies, and a uniquely-designed Ph.D. Program. In addition, graduate students have the opportunity to pursue concurrent degrees with programs in business administration, public affairs, law, public health, marine affairs, and forest resources. JSIS is a department in the Social Sciences Division of the UW College of Arts and Sciences.JSIS has an outstanding opportunity for a Centralized Services Associate Director (E S 9) within the Business Office. Reporting to the Chief Administrative Officer and managing a team, this position will be responsible to develop and manage a new shared service environment across JSIS to support critical services, including communication, outreach, events, and IT services. This position requires strong business acumen, administrative and process improvement skills, and mastery of systems management and operational process efficiencies. A successful candidate is, therefore, required to have strong communication (written, oral, and interpersonal), project management, prioritization, time management, and organizational skills, as well as the flexibility to manage changing priorities. Changing priorities include managing scheduled work while responding promptly to unplanned issues and daily requests for support.This individual will perform a key role in building and providing a centralized services model within JSIS, including management of a work request and management system, development and versioning of policies and procedures, employing best practices and leveraging existing services at the college and university levels. The Centralized Services Associate Director will directly contribute to and be accountable for creating and sustaining a culture of service, accountability, operational efficiency, compliance, and excellence.DUTIES AND RESPONSIBILITIES
Program Development and Oversight - 50%
  • Serve as primary point of contact and liaison to JSIS programs, centers and units for issues related to services provided by centralized service team.
  • Manage centralized service team of shared environment specialists processing high volume transactions in the following areas:
- Communication
- Outreach
- Events
- IT
  • Under the direction of the CAO, identify, develop, and monitor efficient and standard department level administrative business processes based on LEAN principles (or other best practices) for efficiency. Ensure procedures are documented accurately and made available to JSIS staff and faculty. This includes continuously evaluating and reducing waste and administrative burden in operations and administrative processes. Monitor department level operations for consistency and alignment with University, CAS, and JSIS policies and procedures.
  • Develop group training for relevant personnel related to policies and procedures for areas of support. This would include developing learning and compliance tracking platforms like Bridge.
  • Develop expertise to support diverse and complex individual units and develop teams to support bodies of shared work to create consistency in the customer services and leveraging expertise of team members.
  • Align with other UW support processes and systems to maximize the shared environment team and business processes. If needed, develop business processes and or support systems to ensure the overall effectiveness of the shared environment team and business processes if UW standard tools are insufficient.
Platform Selection and Maintenance - 25% (non-technical)
  • Work with IT team to identify platform needs, evaluate existing systems, and uses, remediate old platforms as needed.
  • Develop system and platform organization and hierarchy to best manage workflow and document organization. Inform access management, version control, training and use authorization.
  • Work in conjunction with the IT team to identify functionality changes to better service our shared environment users and business processes.
  • Work to leverage existing UW platform to the full capacity and benefit.
Supervision - 25%
  • Supervise a team of ten with a mix of professional and classified staff.
  • Provide day-to-day leadership and mentoring of Centralized Services staff, including direct supervision of three people who supervise others.
  • Interview, hire, and oversee training of staff, assign and review work, conduct annual performance reviews.
  • Conduct regular staff meetings.
MINIMUM REQUIREMENTS
  • Bachelor's degree in business, international studies, or a related field.
  • Five years of experience with administrative management and supervisory in a shared services environment.
  • Equivalent education/experience will substitute for all minimum qualifications.
ADDITIONAL REQUIREMENTS
  • Demonstrated ability or experience to work with senior leadership as well as all levels of staff and must be able to communicate effectively (written and oral) to all.
  • Ability to work independently and exercise decision-making authority.
  • Strong organizational skills to prioritize workload.
  • Experience in leadership and management and supervision of a team.
  • Strong and successful background in process development and improvement, strategic planning, change management.
  • A strong blend of technical/process design skills, leadership, group facilitation and communication skills.
  • Ability to interpret and communicate to others complex policies and procedures.
  • Proven leadership and strong communication skills.
  • Proven track record in exercising discretion and independent judgment effectively in decision-making processes.
  • Demonstrated experience in the successful handling of multiple projects with critical deadlines.
