Description :Involved in all facets of leasing transactions from prospecting for tenants to proposals with the customers to assisting throughout the lease process. This position will regularly communicate with the Director of Leasing, Division Vice President, Leasing Department, and other Highwoods' staff. The leasing Coordinator will provide administrative and analytical support for the Leasing Department, including market research and economic evaluation of lease transactions for office properties throughout Atlanta. This position is part of a collaborative environment with all Highwoods employees, customers, and the commercial brokerage community to maintain Highwoods' superior standardsWORK PERFORMED:
  • Compiles information for leasing activity reports for the leasing department
  • Create and maintain comparable building summaries for all Highwoods Atlanta office buildings, tracking rental rate changes and occupancy changes with a detailed understanding of each building's strengths and weaknesses relative to Highwoods buildings
  • Updating proposal templates with marketing following a consistent, professional, and uniform format
  • Draft proposals, redlines, and prepare final form LOIs with direction from the leasing department
  • Enter lease term economics within HIW proprietary database systems with direction from the leasing department
  • Distribute fully executed leases to brokers and customers
  • Coordinate with the accounting team on lease abstracts once leases are fully executed
  • Create and maintain a database of tenants in the market with near-term-tenant maturities throughout Atlanta by using CoStar and similar databases to assist the leasing department
  • Create and maintain a database of active buildings in the market or troubled assets for market knowledge of the leasing department
  • Maintain CoStar, LoopNet, and proprietary commercial real estate database, ensuring consistently accurate and current data
  • Keep building stacking plans, and all floor plans up to date through coordination with the leasing department, 3rd party architectural firms, and marketing specialist
  • Coordinate with the marketing department to ensure all marketing materials are accurate and up to date, including flyers, websites, blasts, videos, etc.
  • Update outside Broker contact information and email list on a quarterly basis
  • Maintain broker/client contacts, including Salesforce database management and activity entries for brokers/customer outreach; preparing monthly reports of activity entries
  • Coordinate with marketing as needed for property tour packages to make sure the suites are in marketable and tour-ready condition
  • Maintain a detailed spreadsheet of market lease comparables
  • Gather, analyze, interpret, and present real estate trends and information for the Atlanta office markets
  • Maintain vacancy suite condition spreadsheet and marketing materials for vacant suites with a marketing specialist
  • Respond to Loopnet and CoStar with updates
  • Track and send all First Right of Refusal letters to customers with directions from leasing department
  • Prepare monthly leasing reports
  • Process expense reports for the leasing and marketing department
  • Assist with leasing and marketing events and customer experience events
  • Work on special projects as needed

  • Advanced Proficiency in Microsoft Excel and Word
  • Experience in data entry/data management
  • Experience with CRM/Salesforce
  • Strong data software application skills
  • Demonstrated ability to work independently to meet goals and objectives
  • Proven record of providing excellent internal and external customer service
  • Excellent verbal and written communication skills
  • Effective listening and critical thinking skills
EDUCATION/EXPERIENCE:Bachelor’s degree in Business, Finance, Marketing, or Real Estate. This is an entry-level position, although experience in real estate or an internship in real estate is a plus.WORK ENVIRONMENT:This job operates in an office setting and routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.PHYSICAL DEMANDS:The physical demands described here represent those that must be met by an employee to perform the essential functions of this job successfully.Work is of a general office nature.
