Title: Human Resources CoordinatorDescription: Under the supervision of the Vice President for Human Resources and Compliance, the Human Resources Coordinator performs a wide variety of technical and administrative duties in a fast-paced office environment. The HR Coordinator’s primary role is supporting the entire employee life cycle from application to retirement. Responsibilities include employment, onboarding and orientation processes, fringe benefits enrollment, recordkeeping and reporting, and support of the HR office with a wide array of administrative functions. The coordinator fosters positive employee relations and offers counsel and advice relative to fringe benefits, college procedures/policies, and federal/state mandates. The HR Coordinator is responsible for working within the College’s Payroll/HR system (Paycom) to implement and maintain human resources processes, monitor functionality, assist employees and supervisors on use, and make updates and changes when necessary.Responsibilities
Systems and Software
- The HR Coordinator will work to become a subject matter expert in the use and maintenance of the College’s Payroll/HR system and software (Paycom). Monitor functionality, and make updates and changes, when necessary, in consultation with human resources and payroll colleagues.
- Assist employees on their use of the Paycom software, such as accessing their self-service or client profiles, making fringe benefits changes, updating time cards and submitting leave time requests.
- The HR Coordinator is responsible for supporting the entire employee life cycle from application to retirement. Includes, but is not limited to, the following responsibilities.
- Assist hiring managers with the recruitment processes including use of the applicant tracking system.
- Review and update job descriptions, job postings, and advertisements for non-faculty positions as necessary.
- Provide potential employees with employment and community resources.
- Prepare/process non-faculty appointment letters, and the review and record all faculty appointment letters upon receipt.
- Initiate the employment onboarding process for new and returning faculty and staff, which includes sending new employee’s a welcome email with background check and the self-onboarding information, preparing employment files, monitoring all stages of the onboarding process and completion/collection of employment documents including the Federal Form I-9 and review of identification.
- Maintain information within the employee database in Paycom and Colleague.
- Assist employees with fringe benefits enrollment, cancellations and changes.
- Prepare employment transition paperwork for departing employees, process COBRA notifications and monitor cancellations for various fringe benefits.
- Responsible for event scheduling, coordination, and logistics for HR related events such as the annual service year awards ceremony, employee wellness fairs, new employee orientations, and HR sponsored events and trainings.
- Review and update departmental documents, including mandatory posters (bulletin board and D2L), organizational charts, employee handbook, and fringe benefit documents as necessary.
- Prepare reports, mailing lists and queries for the HR office and other departments as necessary.
- Collaborate with HR colleagues on a variety of departmental projects including compliance, research, annual assessment reporting, statistical reports/surveys, training and development, employee relations, annual announcements, notifications, and mailings, etc.
- Participate in and support HR student internship opportunities and other FlightPath initiatives as indicated in the HR Unit Plan.
- Comply with all applicable College, Federal, State, local, and associational laws, rules and regulations.
- Create and maintain positive relationships with all internal and external constituents.
- Participate in significant campus activities, including Welcome Weekend, True Blue Weekend, and Commencement Weekend.
- As a representative of the College, comport oneself in a professional manner at all times, both on and off campus.
- Other job-related duties as assigned.
- Progressive human resources related experience
- Experience with HRIS software and systems management
- Proficiency with Microsoft Office software (Word, Excel, Power Point, etc.) is required
- Ability to present information in a clear and concise manner
