The South Carolina Judicial Branch (SCJB) invites applications for an Administrative Assistant I in the Receiver's Office of the Commission on Lawyer Conduct.The Administrative Assistant is responsible for semi-autonomously performing administrative legal duties to assist the Receiver in carrying out all duties in Rule 31 of the Rules for Lawyer Disciplinary Enforcement (RLDE), Rule 413, SCACR, in cases where a lawyer is transferred to incapacity inactive status, disappears or dies, or is suspended or disbarred, but no partner, personal representative, or other responsible party capable of conducting the lawyer's affairs is known to exist.ESSENTIAL DUTIES AND RESPONSIBILITIES OF THE POSITION

  • Thoroughly review all closed client files and identify issues that require attention of Paralegal or Receiver; Prepare and maintain an accurate and complete inventory of the closed files.
  • Remove all original documents from closed client files; scan original documents into case management system; Draft notice to clients about retrieval of the original documents and perform necessary follow-up; Conduct internet searches to locate clients for whom contact information is not immediately available; Deliver original documents to clients by mail or in person; Prepare and maintain an accurate and complete inventory of the original documents.
  • Answer phone calls directed to the Office of the Receiver from clients, attorneys, judges, court staff, and members of the public; Direct specific case related inquiries to the Paralegal or Receiver; Answer general questions and inquiries about office procedures, closed client files, original documents, and how to seek refund of legal fees.
  • Open all incoming correspondence to the Office of the Receiver; scan and distribute correspondence to Paralegal or Receiver; Draft reply correspondence for general questions, inquiries about office procedures, closed client files, original documents, and how to seek refund of legal fees.
  • Transport closed client files between Receiver's Office and storage facility during the inspection and inventory process; Accurately track time spent on inventory and inspection of client files in case management system; Monitor storage capacity needs and client file destruction dates; Open and close files in case management system; Ensure termination directives are accomplished in a timely manner as directed by Supreme Court; Ensure case management file is complete before closing.
  • Perform all other duties as assigned by Receiver or Commission Counsel.
MINIMUM QUALIFICATIONS (EDUCATION AND EXPERIENCE)
  • High school diploma and three (3) years of administrative work experience in a law firm or other legal environment.
REQUIRED KNOWLEDGE, SKILLS, ABILITIES AND OTHER CHARACTERISTICSKnowledge of:
  • The S.C. Unified Judicial System and S.C. Appellate Court Rules.
Skills:
  • Must possess excellent computer skills to include proficiency in Microsoft Office Suite (e.g. Word, Excel, PowerPoint, and Outlook) and Adobe Pro.
Abilities:
  • Must be a self-starter with the ability to prioritize work, work well under pressure, and work independently and effectively in executing job responsibilities;
  • Strong interpersonal and communication skills as well as demonstrated ability to establish and maintain effective working relationships with attorneys, judges, court personnel, clients, and the general public;
  • Ability to communicate effectively, both verbally and in writing, in a clear and effective manner;
  • Demonstrated ability to maintain confidentiality, and to exercise sound judgment and discretion;
  • Must be able to work in a semi-autonomous environment with excellent self-direction, initiative, and motivation;
  • Ability to lift and move boxes weighing up to 40 pounds;
  • Commitment to punctuality and strong work ethic.
DESIRABLE REQUIREMENTS (EDUCATION AND EXPERIENCE)
  • Associate's degree and three (3) years of administrative work experience in a law firm or other legal environment;
  • Paralegal Certification.
