OverviewPurpose Statement/Position Summary:
The Ambulatory Access Center Administrator is a key operational leader responsible for strategic and day-to-day oversight of core access services in a high-volume ambulatory setting: Referral Intake, Registration, Scheduling, and Capacity Management. This role supports the development and execution of operational plans that improve patient access, enhance workflow efficiencies, and strengthen referral conversion. The Administrator, Ambulatory Access Center, partners with multiple stakeholders, including but not limited to leaders in outpatient clinics, Division Chiefs, Departmental and Service Line Leaders, Ambulatory Leadership, Revenue Cycle teams, Patient Business Services team, HIM, etc. The Administrator plays a critical role in access planning and capacity optimization efforts across the ambulatory enterprise, including referral intake, template management, scheduling logic, and forecasting processes to balance supply and demand. This role is instrumental in developing data-driven strategies to improve appointment availability, referral turnaround time, and registration accuracy while embedding accountability at every level of the access infrastructure.Minimum Qualifications/Work Experience:
- Required:
- 7+ years of progressive leadership experience in healthcare operations, with at least 3+ years in an ambulatory access center role (e.g. scheduling, registration, referral intake).
- Strong understanding of access workflows, scheduling tools, template management, and patient flow processes.
- Demonstrated ability to lead complex, cross-functional initiatives and coach diverse teams toward performance improvement.
- Proven experience using data to drive decision-making, manage complex initiatives, and develop performance metrics.
- Strong organizational, interpersonal communication, problem solving, communication, and critical thinking skills required.
- Ability to adapt in a dynamic environment and manage competing priorities across multiple functions.
- Preferred:
- Experience in a pediatric, academic, or multi-specialty ambulatory care setting; prior involvement in large-scale access improvement or template optimization efforts.
- Experience with scheduling systems, electronic medical records (EMR), and patient registration platforms.
- Required:
- Bachelor’s degree in Healthcare Administration, Business Administration, Public Health, or a related field.
- Preferred:
- Master’s degree (MHA, MBA, MPH, or related) strongly preferred.
- Lean Six Sigma or other performance improvement training is a plus.
