- Processing invoices and other billing documents accurately and efficiently
- Ensuring that all billing information is entered correctly into the accounting and dealerships software systems
- Verifying the accuracy of billing information and resolving any discrepancies
- Process the accounts receivables and ensure timely payments from customers
- Maintain organized and accurate billing records and filing systems
- Handle disputes on credit cards from customers via mail or from ROs
- Billing deals for trade-ins and payoffs; pull commissions on warranties and products; create trade folders to get paid off; check vehicle information in Title Tec; check inventory in CDK to ensure money for RO and cost on Recap is the cost in CDK; compute commissions based on costs; book deal and post
- Process payoffs from purchases (KBB)
- CIT (Contracts in Transit); check for payments from customers that are not immediately deposited into the bank account; review the CIT records to ensure that all payments have been properly accounted for
- EFT (Electronic Fund Transfer); ensure payment is processed accurately and the funds are received in a timely manner; reconcile the payment with the dealership's accounting records
- Responsible for maintaining used vehicle inventory schedule, tracking adjustments such as ROs reconciling accounts; review schedules to ensure they are accurate and up-to-date
- Ensure We-Owe Payoffs have been properly processed and that all necessary documentation has been completed; check for any balances owed on the vehicle that needs to be paid off
- Cash Clearing to ensure that all cash received has been properly recorded, deposited with no discrepancies
- Other duties or projects as assigned by Management.
- Automotive experience with preferably CDK knowledge
- High School Diploma required and Associate's Degree an advantage
- Preferred Education: Post-Secondary education in accounting, finance or related field
- Accounting knowledge; solid understanding of basic accounting principles and practices, including bookkeeping and financial reporting
- Experience with accounting software and spreadsheet programs like MS Excel
- Strong experience using computers; proficient in using accounting software, spreadsheets, and other tools to manage financial records and transactions
