Department PhysicsJob Posting Title Senior Administrative Assistant, Department of PhysicsJob DescriptionThis position involves specialized and/or diverse administrative responsibilities and support to the faculty and students of the Department of Physics. Duties include management of the office, administration of department-related communications, record management, schedule management, managing financial processes for the business office, and coordination and management of student workers. A successful candidate must be highly detailed and organized, have the ability to work independently, and enjoy the challenge of learning new systems.Priority Deadline: September 11, 2025.   • Associate’s degree or higher, or two years’ experience in related field
  • Three years of office experience
  • Demonstrated ability to organize and manage budgets, department records and files, course scheduling, and faculty calendars.
  • Evidence of effective management of social media and webpages.
  • A history of successful supervision and/or mentoring of student workers.
  • Proficiency with Microsoft Excel and other Microsoft Office Suite programs (Outlook, Word, PowerPoint).
Responsibilities may include:
  • Oversee customer service operations, including walk-in, phone, and email communications.
  • Maintain the budget spreadsheets for the department accounts.
  • Assist chair with correspondence, scheduling, spreadsheets, and other documents.
  • Monitor expenditures and reconcile monthly budget reports for the department accounts.
  • Manage course scheduling.
  • Process travel and purchasing requests and reimbursements.
  • Understand and implement university and state procedures and regulations.
  • Maintain office supply inventory and coordinate maintenance of office equipment.
  • Schedule department visits for potential students.
  • Perform other office management functions as needed or assigned by the Department Chair.
  • Supervise and provide on-going training for student employees.
