We invite you to apply to be a part of our University community!Job DescriptionTo perform a wide variety of secretarial support functions; apply detailed program knowledge in developing and/or maintaining program records systems and/or in collecting information, preparing reports and providing liaison between management, other organizational units, and external customers; perform related work.The Administrative Assistant for the Idaho State University Idaho Falls Campus, is the first point of contact for a diverse group of customers. This role is essential for creating a welcoming and professional atmosphere by greeting walk-in visitors and answering phone calls, directing customers to the right information, and supporting general office operations.Key ResponsibilitiesCampus Support and Administrative Duties (70%)
- Maintain office equipment and order supplies.
- Support purchasing and reconciliation processes for multiple campus units.
- Help with reserving classrooms and meeting rooms.
- Assist with new hire processes and packets.
- Provide backup support for the Student Services Help Desk and ISU Idaho Falls Testing Center.
- Support campus leadership with events, marketing, and promotion.
- Compile data for various reports.
- Assist with setting up and tracking campus badges & keys.
- Administer campus email listservs.
- Help manage and track campus office assignments and facility usage.Administrative Functions for ISU Idaho Falls CMESIC/University Partnership Building (30%)
- Assist with managing training profiles and assigning facility and lab-specific training.
- Schedule facility walkthroughs.
- Support with setting up facility badges.
- Administer the facility listserv for emails.
- Help manage and track campus office assignments and facility usage.
- Act as the point of contact for reservations and setup of conference rooms, the gallery, and the auditorium.
- Assist with building events, planning, logistics and execution of events.
- Support with procuring necessary safety and lab supplies.
- Maintain electronic files.
- Take meeting minutes as needed.
- The ability to work a regular schedule consistent with the needs of the university is an essential function of this position.
- All other reasonable duties as assigned.Minimum QualificationsGood knowledge of:- Office support functions including word processing, filing, composing a variety of business documents and reception.- Gathering and compiling data.- Balancing and coordinating a workload for multiple projects.Specialty Items - Some positions at ISU may require one or all of the following:Good knowledge of:- Medical terminology and medical documents and the general benefits of Medicaid, Medicare and major insurance companies.Experience:- Interpreting, applying, and explaining complex information.
Additional InformationISU minimum for this classification is $17.25/hour.
