Lives are changed.What we are looking for:The receptionist provides front-line contact with visitors and callers both in person and by telephone and thus, often delivers the first impressions of KU Endowment at the Lawrence office. This responsibility is shared between two part-time individuals and this position serves as the afternoon receptionist for the KU Endowment Lawrence office with a schedule of 12:30 p.m. - 5:00 p.m. Monday - Friday.The individual in this position is expected to embrace KU Endowment's stated core values - passion for KU, partnership with donors, perpetual support for KU, and a people-centered approach - and demonstrate support for them through professional interactions and activities.What's a typical day look like?
Greet visitors, offer basic hospitality, announce visitors to staff members and direct guests appropriately.
Operate telephone switchboard, identify KU Endowment, and greet caller appropriately; route call to office or individual; provide assistance when applicable.
Maintain and update company voicemail greetings for holidays and closures.
Ensure reception desk is staffed at all times during business hours. May be required to work additional hours to cover the reception desk when the other Receptionist is absent.
Assist with conference room schedules, monitor and adjust procedures as needed, and coordinate requirements for KU Endowment's main conference room.
Maintain multiple lists of KU Endowment employees on company intranet.
Assist staff members by performing clerical duties or other tasks that are compatible with reception duties.
Maintain the Supply Room; order office supplies; keep items inventoried, in stock and organized; pay invoices in a timely manner; place special orders as requested and coordinate KU Endowment-wide annual calendar orders. Replenish first-aid supplies in the kitchens on each floor.
Responsible for Disaster Response materials.
Maintain receptionist manual and train substitute Receptionists.
Regular and reliable attendance is essential for this position.
Perform other work as directed or required.
What's required to be considered:Training and experience should be the equivalent of that normally received by graduation from high school with competency in computer applications and office administration. Demonstrated experience in providing high-quality customer service in an office setting. Professional appearance and ability to meet the public and greet visitors to KU Endowment creating a highly positive impression in doing so. Demonstrated commitment to punctual and regular attendance. Ability to cooperate effectively with and job-share responsibilities with another part-time Receptionist. Must be able to coordinate conflicting demands of visitors and incoming calls. Must exhibit strong interpersonal communication skills and the ability to establish and maintain effective working relationships inside and outside KU Endowment. Attention to detail is required as is the ability to exercise good judgment in making minor decisions.Physical Requirements:
Must have access to reliable transportation to ensure prompt and regular attendance.
Must be able to respond quickly and effectively to directions and safety hazards.
This job operates in a professional office environment. This role routinely uses standard office productivity machinery such as computers, keyboards and a mouse, laptops, phones, photocopiers, filing cabinets and fax machines.
This is largely a sedentary role; however, some filing is required. This would require the ability to move files, open filing cabinets and bend or stand as necessary.
The ability to observe details at close range (within a few feet of the observer).
The person in this position frequently communicates with donors, colleagues, students, and general public. Must be able to communicate with others effectively.
