
STAFF ASSISTANT OPS

- Organized professional individual with a background in clerical and administrative support duties.
- Responsible for operating a personal computer and other office equipment utilizing various computer software programs in the preparation of administrative reports, documents, and correspondence.
- Research, gather data and prepare written reports and independently initiate special projects.
- Need to be able to multi-task.
- Assists the Program Administrator and Operations Management Consultants I and other administrative support staff.
- Prepares correspondence, reports, memorandums, staff meeting minutes, and other material on general and technical subjects.
- Prepare, type and submit travel vouchers for ACCESS Program staff.
- Perform general copying, mail distribution duties daily.
- Maintain required contact lists.
- Copy and distribute correspondence and other materials to units and other personnel.
- Plans workflow and time utilization to maintain high level of productivity and to complete work on schedule.
- Maintains all files and records of office correspondence, documents, reports, and other materials.
- Assists with Random Moment Sampling, tracking correspondences, maintaining logs, creating charts and graphs.
- Handles Client Relations updates and tracking for completion
- Knowledge of the principles and techniques of effective communication, verbally and in writing.
- Knowledge office procedures and practices.
- Knowledge of standard business formats and styles for letters and business forms.
- Knowledge of the methods of data collection.
- Knowledge of basic arithmetic.
- Knowledge of Microsoft Office Word, Excel, and Power Point. Must be familiar with Adobe and Visio, document scanning and DVS Capture
- Ability to deal with the public in a tactful, courteous and effective manner
- Ability to organize, maintain, compile, analyze, review data for accuracy and completeness for management and administrative decisions.

- Three years of secretarial, clerical, or administrative support work experience. College education from an accredited institution or vocational/technical training can substitute at the rate of 30 semester, 45 quarter or 720 classroom hours for each year of the required experience. A high school diploma or its equivalent can substitute for one year of the required work experience.
