Complete secretarial duties relating to the department on a daily basis. Responsible for surveillance of all clinical records in the Neighborhoods and their compliance with regulations.Job Standards:Follow/adhere to the Code of ConductFollow/adhere to organization, federal/state regulations and guidelines, including Resident RightsMaintain neatness, cleanliness, good personal hygiene, and a well-groomed appearance, adhering to dress code of the departmentPerform duties of job without posing a threat to the health and safety of themselves or othersMaintain sound mental and physical health and strengthMust be free of communicable diseasesExhibit Messiah Lifeways Core ValuesWillingness to work independently but able to accept direction and supervisionMust possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies personnel and the general publicMust be able to communicate with the staff, and other department supervisorsMaintain a rapport with the residents and their familiesMust be willing to seek out new methods and be willing to incorporate them into existing practicesMust attend and participate in continuing educational programsMay be asked to work beyond normal working hours, and in other positions temporarily, when necessaryMove frequently throughout the Neighborhood and facilityAssume accountability for compliance with federal, state and local regulations within the assigned duties and within his or her span of controlWill assume responsibility to ensure secure handling of information, and will adhere to HIPAA Privacy and Security standardsRecognize your role as part of the QAPI efforts of your organization and attend training to build understanding and capacity to undertake QAPI workCarry out QAPI roles and responsibilities as assignedLook for and share with leadership ideas for improvement in the organizationJob Duties/Responsibilities:Participate in accountability for resident and family satisfactionTranscribe and process physician orders accuratelyAssist physicians and other team members in locating resident data, charts and appropriate personnel upon requestComplete Long Term Care paperwork timelyAudit charts in accordance with the Thinning Chart Procedure for compliance with regulationsClose charts upon resident discharge and file closed charts with labels/ dates in an organized systematic orderMaintain closed resident charts and transfers to off-sight storage as appropriateOrder office supplies as necessary for the smooth operation of the Enhanced Living neighborhoodComplete necessary orders for diets, therapies, maintenance requests, IS requests, and other medical specialistsContact physician offices/hospitals for appointments, schedules, x-rays and labs per the direction of the EL Director of Nursing, Lead Clinical Manager or Neighborhood NurseSeek opportunity for professional growth and developmentAdhere to the safety policies and procedures of the facilityAware of fire and evacuation procedure and can assist with evacuation during a fire emergencyUtilize safety equipment appropriate for job functionsReport any needed equipment or supplies to the EL Director of NursingPrepare clinical record for new admissionsPerform receptionist duties for NeighborhoodOrganize the flow of information in the Neighborhoods through effective communication with other Health Information Specialists, Nurses, EL Director of Nursing and Lead Clinical ManagerKeep supplies organized and neat, along with work areaKeep sufficient copies of clinical forms on the EL neighborhoodsTransport residents to and from onsite appointments to PCP, Podiatrist, and other medical professionalsArrange transportation to medical appointments off premises in conjunction with family and residentAnswer call bells and respond appropriately to the residents’ needActively participates in orientation and training of new team membersDemonstrate proficiency with Point Click Care and other electronic Health programs such as EpicProficient with Messiah email and other Messiah computer programs as related to job functionsEnsure and maintain confidentiality of resident informationMay be asked to participate and assist with the annual Department of Human Services surveyParticipate in orienting and mentoring newly hired HIAsMay be asked to perform other duties as assignedQualificationsRequired Skills/Abilities:Must be able to read, write, speak and understand the English languageProficient secretarial and organization skillsMust have basic computer skills; utilizing Google Suite ApplicationsMust have excellent communication skills, including phone and receptionist skillsMust have a sense of responsibility, attention to detail, and good judgmentMust have patience, a cheerful disposition and enthusiasm, as well as the willingness to handle challenging situations on a routine basisMust have the ability to work with accuracy with frequent interruptionsEducation/Experience:Preferred graduate of a medical secretary/assistance program
