
Lead Payroll Specialist

- Oversee the daily payroll operations for a complex, rapidly growing veterinary services organization of over 4500 employees across 225 veterinary practices and 130 FEINs within ADP Workforce Now, ensuring accurate, timely payroll processing and robust internal controls.
- Process and validate bi-weekly payrolls for multiple entities, ensuring compliance with federal, state, and local laws.
- Function as a subject matter expert on payroll systems, processes, and compliance, and serves as the point of contact for escalated payroll inquiries. This role will support the Payroll Manager in process improvement, system implementation and audits.
- Provide guidance to payroll team members and clinic partners, ensuring exceptional standards of customer service, and oversee the resolution of complex payroll issues and discrepancies with accuracy and efficiency, consistently achieving resolution within 48 business hours.
- Partner with HR, Finance, Operations, and other cross-functional teams to ensure seamless integration of payroll initiatives.
- Identify and implement process improvements to optimize payroll operations. Maintain comprehensive payroll documentation, including Standard Operating Procedures (SOPs), checklists, and compliance materials to ensure regulatory adherence and operational consistency.
- Stay up to date with U.S. payroll regulations, payroll tax laws, and compliance requirements, ensuring adherence to all applicable laws and regulations and timely payroll tax setup and filings.
- Develop and maintain strong relationships with external payroll and tax vendors and ensure the smooth operation of all payroll systems (currently ADP Workforce Now) and external legal counsel.
- This is a critical technical position at AAH that requires attention to detail, knowledge of U.S. employment law, payroll systems, and an understanding of U.S. payroll and payroll tax regulations.

- Excellent organizational time management skills to manage multiple, diverse, and potentially conflicting priorities.
- In-depth knowledge of payroll laws and regulations (FLSA, IRS guidelines, etc.). Multi-state payroll experience preferred.
- Experience with payroll systems, particularly ADP Workforce Now.
- 5+ years of progressive experience in payroll operations management with at least 1 year in a leadership or supervisory role.
- Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
