Whatever your role and whatever expertise you bring, we are dedicated to helping you achieve your full potential in an environment of respect, innovation, and teamwork.Position SummaryThe Welcome Baby (WB) Program is a grant funded, free, voluntary home visitation program which includes visits with the family prenatally, in the hospital, and during the postpartum period. The purpose of the program is to provide primary health prevention and parent education and to invite and welcome families into an array of services and support elements developed in their community. The Admin Asst./Data Support is responsible for providing support to the Welcome Baby Program Supervisor, as well as ancillary staff by completing day-to-day administrative tasks such as answering telephones, relaying messages, receiving and/or conveying information, preparing summaries, preparing program supplies, sorting and matching documents, filing records, collecting and distributing mail, organizing and maintaining office space and routine program inventory and supplies. The Admin Asst./Data support also plays a key role in maintaining resrouce and referral network for program and client referrals. They will assist with coordinating staff meetings, take minutes and prepare reports for Contract Manager, Program Supervisor and Program Director.Essential Functions and Responsibilities of the JobPerforms clerical duties of moderate scope and complexity. Duties may include such tasks as receiving and conveying information, scanning of requisitions, preparation of summaries, sorting and matching documents, filing records, collecting and distributing mail, and routine inventory and supply organization.Completes routine reports, messages, and forms. Organizes and files records according to the established department procedures.They will follow Welcome Baby protocols as developed by First 5 LA and approved by Miller Children's Hospital.Accomplishes department and organization mission by meeting productivity goals.Maintains a clean and well organized working environment for all Welcome Baby Staff.Meets population specific competencies in a culturally sensitive manner. Consistently applies infection control policies/procedures.Participates in specific performance improvement projects.Attends all staff meetings and required reflective supervision meetings, as well as all mandated Welcome Baby Program trainings.Performs other duties as assigned.*Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. In addition to base pay, there may be additional compensation available for this role, including but not limited to, shift differentials, extra shift incentives, and bonus opportunities. Assistant experience as well as data entry experience on IBM or compatible.Ability to type 45+ wpm, and 10 key by touch required.Excellent computer skills in a Microsoft Windows environment including Word, Excel, Outlook, Publisher and PowerPoint.Working knowledge of medical terminology preferred.Must have excellent customer service skills, good organizational skills, and be detail oriented.Able to work without direct supervision.Bilingual in Spanish/English is Mandatory.Education/Licensure/Certification:
  • H.S diploma or GED required.
  • AA or certificate of completion preferred.
  • Must possess and maintain a valid California State Driver's License, valid vehicle registration, and liability insurance.
