Portland Public Schools is seeking a highly organized, detail-oriented, and professional Secretary to support the daily operations of Portland High School. The Administrative Assistant will serve as the first point of contact for students, staff, families, and community members, providing exceptional customer service and administrative support. This role is ideal for someone who thrives in a fast-paced environment, demonstrates strong communication skills, and takes initiative in managing a wide range of responsibilities.Responsibilities:Provide administrative support to the High School Principal, Dean of Students, and staff.Greet and assist visitors, answer phone calls, and respond to inquiries in a courteous and professional manner.Maintain accurate student and staff records, including attendance, enrollment, and other school documentation.Maintain Pupil Accounting records for the High School.Assist with scheduling, meeting coordination, and event planning for school activities.Prepare correspondence, reports, newsletters, and other communications.Manage office supplies, equipment, and other resources to ensure efficient office operations.Coordinate substitute teacher coverage and maintain staff attendance records.Support staff with clerical tasks, including filing, data entry, and report preparation.Assist with student support needs, including distributing passes, medications, and other essentials as needed.Maintain confidentiality of sensitive student and personnel information.Perform other duties as assigned by school leadership.Note: This is not necessarily an exhaustive or all-inclusive list of responsibilities, skills, duties, requirements, efforts, functions or working conditions associated with the job.
