  • Administrative/Project Assistant, approximately 40 hours per week, to assist in office administrative functions in a fast-paced engineering and environmental consulting firm.
  • Assist with time entries, expense reporting, invoicing, and other accounting functions.
  • Utilize company financial system, Deltek Vantagepoint, to create & maintain new and existing projects, create client invoices, manage and organize contracts, data entry of new vendor, new clients and vendor vouchers, review account receivable ledger, reconcile month end general ledger and project financial reports.
  • Assist with human resources tasks including hiring, orientation, and performance reviews. Ensure corporate HR policies are followed, including entering and maintaining employee data in appropriate systems.
  • Enter & maintain employee data into company safety training system.
  • Provide administrative support to project managers as requested including but not limited to answering the phones, processing invoices, scheduling trainings, ordering supplies, maintain files, etc.
  • Review/report status of accounts receivables and status of invoicing.
  • Assist with Medical Surveillance Program (physicals, random drug screens, etc.).
  • Abide by company health and safety policies and procedures.
  • Assist with creation and maintenance of marketing materials and client outreach, both written and verbal.
RequirementsMinimum Requirements:
  • Minimum of two years’ experience working in a fast-paced, deadline-oriented office environment. Office leadership or management experience preferred.
  • Proficient with the Microsoft Office Suite (Word, Excel, PowerPoint), Adobe, and other standard office computer software.
  • High school diploma required, Associates degree or equivalent in accounting principles, business administration, office management or similar preferred.
  • Have excellent communications skills, be a self-starter and able to work with minimal supervision, have a successful track record of multi-tasking and working on progressively more challenging projects.
  • Experience with other commercial web-based accounting system to track time, expenses, and project accounting.
  • Must have ability to learn engineering and environmental technical language and communicate fluently.
