- Responsible for managing the operational workflow and calendar of the CEO.
- Provides confidential administrative support to the CEO, including but not limited to preparation of reports to the Board of Directors, and outside constituents.
- Provide daily, in-person support for the internal functioning of the Office of the CEO, including traveling when requested.
- Perform complex administrative duties including responding for the executive when unavailable, composing correspondence, and coordinating resources across a variety of functional areas
- Prepare dashboards, executive summaries, and strategic analysis for the CEO to quickly ascertain knowledge on institutional matters to facilitate effective and rapid decision-making.
- Ensure internal and external presentations meet brand standards, are appropriate and accurate, and convey purposeful information.
- Manages and maintains schedules, appointments, and travel arrangements, and timely prepares expense reports.
- Organizes meetings to maximize productivity and discussion; drafts agendas and minutes and ensures follow-up action items are clearly assigned and subsequently completed.
- Implements a communication process ensuring that stakeholders are provided with the appropriate information in the necessary timeframes.
- Independent decision-making related to work and projects assigned
- Provides general administrative support including writing, editing, archiving, and preparing presentations.
- Answers inquiries and/or referring requests to the appropriate person/department for resolution
- Develop and implement office procedures related to the coordination of information
- Is cross-trained and able to provide backup for other executive administrative assistants
- Attends meetings as assigned and reporting on actions
- Participates in educational/safety activities and programs as needed or assigned
- Coordinates and prepares for meetings and events to include preparing an agenda, scheduling teleconferences, and conference space as required, facilitating refreshments, and transcribing and distributing meeting minutes.
- Leads the organization and creation of various PowerPoint presentations for the CEO
- Eight years of administrative support experience in a professional environment with a preference of four years at the executive level.
- Bachelors degree or equivalent experience.
- Strong proficiency in Microsoft Office applications including Outlook, Word, Excel, PowerPoint, and other desktop publishing software.
- Excellent writing and editing skills.
- Outstanding communication skills.
- Maintains a professional image and presence.
- Ability to respect and adhere to, always, the confidential nature of the work and information in the CEO’s office.
- Desire to be continually learning
- Travel may be required up to 10% of the time for special events such as Board meetings and other internal events.
