Duties Description The Administrative Assistant 2, SG-15, will work within the Human Resources Management Unit (HR) providing direct support to the Director of Human Resources, and other HR offices as directed. Duties will include but are not limited to:
  • Provide direct administrative support to the Director of Human Resources.
  • Manage various shared mailboxes and electronic fax.
  • Answer telephones, transfer calls, take messages, and provide information to callers and staff.
  • Greet visitors and handle inquiries or direct them to the appropriate persons.
  • Schedule and manage appointments, meetings, and other events for program management and program resources.
  • Compose, type, and distribute various correspondence, meeting notes, and reports.
  • Track and coordinate program assignments.
  • Open, read, route, and distribute incoming mail or other materials.
  • Coordinate information and act as liaison to executives, DHSES program managers, external agency partners and employees.
  • Interact with customers and colleagues in a courteous and professional manner.
  • Efficiently utilize program databases, applications, SharePoint sites and Microsoft Office Suite.
  • Create, organize, and maintain office files.
  • Ensure confidentiality of privileged and sensitive material.
  • Perform tasks in an efficient, timely, and safe manner.
  • Perform other duties and special projects as required.
Minimum Qualifications TRANSFERCurrent New York State employees with one year or more of qualifying permanent or 55b/c service in a position allocated to a Grade 13 or higher and eligible for transfer under Section 70.1 of the Civil Service Law.NOTE: This vacancy posting is for the purposes of notifying individuals about transfer opportunities.
