General DescriptionMonona Terrace Community and Convention Center is looking to hire an Event Services Manager with a high standard for customer service to lead the dedicated staff within the Event Services team. This is responsible professional supervisory and event coordination work developing operational policies, systems and procedures, and performing and/or overseeing the performance of all event service activities. The work is characterized by great attention to detail, the exercise of independent judgment, overall supervision of events, the coordination of multiple tasks at one time, collaboration with other work units within and outside the Convention Center, and maintenance of high standards of customer service.   • Hire, train, coach, evaluate and discipline staff.
  • Supervise staff to ensure accurate and timely event work production.
  • Develop and implement a system for assigning events to maximize client satisfaction and provide a balanced workload for staff.
  • Create the event services department's monthly work schedule.
  • Coordinate high profile events and large conventions as needed.
  • Schedule and lead event services department meetings and one-on-one event coordinator meetings.
Develop, implement and administer the event services department's policies, procedures and processes.
  • Develop and implement the customer service standards to maintain high client satisfaction.
  • Develop and implement standards for creating event orders and room diagrams.
  • Develop and implement standards for event billing.
  • Develop, implement and administer systems to manage proper space use, coordinate multiple event move-in/out times and monitor possible conflicts between multiple events.
  • Coordinate all other activities related to Convention Center events.
  • Provide leadership to event staff and clients.
Develop and maintain systems to inform staff and clients of the operational details, services and logistics of each event.
  • Develop, implement and maintain systems to convey event details to staff and clients.
  • Develop, implement and administer systems to communicate staffing requirements from other Convention Center departments to ensure consistent and efficient delivery of facility services for events.
  • Schedule and lead weekly Operation Meetings to review upcoming events with Convention Center and catering staff.
  • Meet with managers from Convention Center and catering as needed to discuss complex event requirements and ensure equipment availability.
  • Take actions necessary to maximize client satisfaction and encourage repeat business for Monona Terrace.
Make recommendations on overall Convention Center operational policies, procedures and service changes to improve client satisfaction and operational efficiency.
  • Provide input and recommendations on overall Convention Center issues as requested.
  • Participate as a member of internal committees created to address problems and improve procedures.
  • Participate in strategic planning and goal setting meetings.
Conduct tours of the facility for clients and prospective clients. Work with Sales Managers and Destination Madison staff in highlighting Monona Terrace to prospective clients.Perform related work as required.Minimum Qualifications
  • Four (4) years of responsible experience coordinating conventions, consumer shows and banquets, including at least one (1) year of experience involving responsibility for planning, organizing, coordinating and supervising/leading major events in a multi-faceted facility.
OR
  • Three (3) years of responsible experience coordinating conventions, consumer shows and banquets, including at least one (1) year of experience involving responsibility for planning, organizing, coordinating and supervising/leading major events in a multi-faceted facility. AND
  • Certified Meeting Professional (CMP) certification or degree in business administration, hotel and restaurant management, public administration, or other closely related field.

The employee must also have the ability to lift, reach, bend and sit and/or stand continuously for long hours. In addition, the employee may be expected to attend various meetings in the Madison area. Employee will also be expected to provide support at various events including providing support at weekend and nighttime events on a rotating basis with other staff members. Otherwise, work is generally performed in an office setting, using traditional office equipment, such as a phone, copier, computer, etc.The City of Madison offers excellent pay and benefits for employees.
