Campari Group is today the sixth-largest player worldwide in the premium spirits industry.General Description of the RoleResponsible for coordinating the liquid fulfillment and transportation needs from the Warehousing dept. to internal and external customers (Packaging dept., Campari facilities, third parties). This role manages tank availability for holding liquid and conveys information through the production schedule as tank allocation and usage. Bulk transfer coordinator organizes and administers all Warehouse TTB required documentation.Mission/ObjectivesThe Bulk Transfer Coordinator will coordinate the liquid fulfillment and transportation needs, convey planning initiatives and administer legal paperwork to help drive an efficient operationKey Responsibilities and Activities
- Compile liquid needs and distribute Production Schedule, a minimum of one month in advance for dump needs based on shipping needs for Bulk, Customer Barrels, Single Barrel and Samples.
- Receive orders from Export and Third-Party Customers. Schedule minimum of one month in advance in US, six weeks minimum for exports depending on requested ETA.
- Maintain Communication with Export Carriers, Customer Service and Trucking Companies for load out dates, Vessel Bookings and arrivals.
- Track POs, OAs. Containers, Weights, ETA, PGS, OLA, Cost, AUD, Taxes, TTB Form Requirements and POEs in 2 different excel sheets. Track bulk of information for Campari Australia and Global Logistics Manager. Track Taxable amounts for Finance in a separate document.
- Create Sales Orders in SAP for Third Party Sales of new distillate or sales of Wild Turkey Product.
- Transfer ownership of product in DRAMS operating system.
- Provide Inventory of Third-Party inventory as requested by Customer Managers and Planners.
- Prepare all paperwork needed for tanker and single barrel shipments, i.e., bill of lading, transfer in bond, Application for Transfer of Spirits for domestic shipments for export shipments BOL, Withdrawal of Spirits TTB documents, Commercial Invoice, NAFTA, Quarantine Declaration for export shipments.
- Coordinate internal and external shipments.
- Distribute and administer legal documentation. Convey necessary information to internal and external parties.
- Coordinate logistics and documentation with Operators and Operations Supervisors
- Monitor and Cistern Room Fillings and make live in Drams daily.
- Log all Distillate Tanks in Cistern Room created through PCI and sent to Drams with Monthly Log per day. Enter these tanks into SAP with a Goods Issue.
- Make all Parcels Live and Dip tanks all day to keep system moving.
- Monitor Daily automated Cistern Room HMI RFID Data Report, save and print for filling with Daily Tanks.
- Log all Barrels not scanned to Trailers for research evidence of possible ghost barrel creation
- Administer all required TTB documentation
- Assist Manager and Supervisors with Drams Error System Issues. If unable to resolve send to Trapeze for Assistance. If it is a PCI specific issue Send to Josh Bryant.
- Create new information or Maintenance in Drams as needed such as SKUs, Carriers, Locations.
- Sign off on Certificates of Analysis for Bulk and Finished Goods for Chemist as site Notary.
- Provide backup Power of Attorney Signature for Export Finished Goods Withdrawal of Spirits for Compliance and Analysis Accountant.
- Provide Single Barrel Pulls for Eddie and Bruce Russell to Warehouse A as needed for on-site tasting sales.
- Manage Master Single Barrel Location Tracking Log and Private Barrel Team Site with yearly Private Barrel Sales Log.
- Create Pulls for Single Barrels as Private Label and Marketplace.
- Coordinate with Warehouse Manager, Marketing and Eddie Russell on Single Barrel and Private Barrel planning
- Manage single barrel spreadsheet and documentation
- Daily Communication with the Marketing Coordinator for Private Labels Sales, shipments or potential problems.
- Lead a Meeting 2 - 3 times per year with all Departments involved with Sales, Orders, Customer Service and Planning (more than 3 meetings held per year.)
- Assist Finance with end of the month closing of Warehouse Dept. portion in DRAMS.
- Work with Finance and Packaging leading up to the End of the Month to correct any PG or Cost Errors in DRAMs and SAP. Cancellations or Reversals in SAP or entering liquid back in tanks in Drams to correct shipment or inventory.
- Every Quarter log Proof Gallon information on an Affidavit for the Tank Room and Cistern Room.
- Sign as Power of Attorney of the Warehouse Dept. for TTB Affidavit Submission. The Tank Room Operator signs for Tank Room, Dump Room Supervisor Signs for Drums in the Dump Room and the Cistern Room Supervisor signs for the Distillate.

- Bachelor's degree is preferred or relevant experience
- Experience
- A minimum of 1-3 years of experience in logistics
- A minimum of 1-3 years of experience with operating systems
- Experience with SAP and Microsoft Excel is preferred.
- Experience in inventory management, material handling and transportation systems is preferred.
- Experience in the spirits industry is a plus.
- Knowledge/Skills/Abilities
- Working knowledge of inventory management
- Proven ability to multi-task and problem-solve in a fast-paced manufacturing environment
- Working knowledge of operating systems such as SAP
- Collaborative work ethic, especially across department lines at all levels in plant operations - influencing effectively with management as well as line staff
- Strong attention to detail and customer service orientation
- Proficiency in SAP and Microsoft Office
- Working knowledge of TTB regulations, ISO requirements and Food Safety processes a plus
