- Coordinate company-wide meetings, annual wellness program, and executive calendars.
- Draft and prepare reports, correspondence, and presentations from notes or independently.
- Manage company-wide communications and ensure timely responses to employee inquiries.
- Maintain confidential records and filing systems, both electronic and physical.
- Order and track office materials such as business cards, letterhead, and supplies.
- Handle day-to-day administrative duties including phone coverage, document scanning, and visitor support.
- Accurately process payroll for B&B and Cirrus on a weekly and semi-monthly basis.
- Submit HSA and FSA deduction files to vendors.
- Prepare 401(k) control totals and manage related documentation.
- Process final pay and termination paperwork, including PTO and benefit updates.
- Maintain benefit portal data, including employee terminations.
- Maintain and reconcile check disbursement logs and corporate cash logs.
- Reconcile monthly bank statements and cash activity.
- Post and balance journal entries, prepaids, and cash receipts.
- Manage petty cash and support annual document retention efforts.
- Serve as backup support for accounts receivable processing.
- Support HR compliance including EEO-1, VETS-4212, and OSHA reporting.
- Assist with onboarding: enroll new hires in benefits and payroll systems.
- Prepare short-term disability documents for payroll and COBRA documentation.
- Maintain employee loan files and assist with 401(k) audit documentation.
- Participate in salary and benefits benchmarking efforts.
- Associate degree in Business Administration or related field (Bachelor's preferred).
- 5+ years of experience supporting C-level executives in a professional environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent verbal, written, and interpersonal communication skills.
- Strong time management, organizational, and problem-solving abilities.
- High level of discretion when handling confidential information.
- A professional, polished demeanor and commitment to accuracy.
- Ability to sit, stand, bend, and work at a desk for extended periods.
- Must be able to manage multiple priorities independently and effectively.
