The Concierge/Receptionist provides general office support through a wide variety of clerical activities and related tasks, serving as the first point of contact for guests, visitors, and employees. This role is essential for maintaining the office’s positive atmosphere, ensuring seamless communication, and supporting operational efficiency. You will manage front desk responsibilities, coordinate office services, and assist with various administrative duties to help JLL deliver exceptional service.What your day-to-day will look like:
- Greet, host, and provide support for guests, visitors, and employees at the front desk
- Answer all incoming calls, direct callers to the appropriate associate, and transfer calls to voice mail as needed
- Serve as the point of contact for packages, deliveries, and courier services
- Manage mail and shipments including pick-up, drop-off, and preparing postage/labels for UPS, FedEx, and other couriers
- Update and maintain phone lists for office contacts
- Respond promptly to requests for information and communicate with all levels of management with minimal supervision
- Maintain overall cleanliness in reception and conference room areas, including periodic housekeeping duties (e.g., displaying newspapers, dishwasher and coffee machine maintenance)
- Reserve conference rooms, order and/or set up supplies, and ensure rooms are clean and ready for use
- Order, organize, and maintain all kitchen and office supplies
- Resolve issues associated with building services, including janitorial, mailroom, copier services, parking, badging, and conference rooms
- Assist with the scheduling and coordination of office and building maintenance activities
- Perform any other duties and tasks assigned
- High school diploma
- One to two years of relevant experience
- Excellent customer service and relationship-building skills
- Strong organizational, interpersonal, and communication skills
- Working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, as well as mapping and database software
- Some college coursework
- Three years of administrative or facilities experience, preferably supporting multiple people in the commercial real estate industry
- Working knowledge of audio-visual equipment in conference rooms
- This is largely a sedentary role, but some filing and light physical activity may be required, including lifting files, opening cabinets, and occasional bending or standing
