- Provides check-in services for all scheduled client appointments
- Responsible for in-person and phone support, providing information regarding treatment services and general inquires and connecting to the appropriate source
- Utilizes electronic medical record to assist clients and staff with scheduled appointments
- Runs reports to verify accuracy of client information and staff schedules
- Makes daily appointment reminders to clients via phone and/or email
- Coordinates with Administrative Support Coordinator to prepare and process new client intake paperwork and assist with scheduled intakes
- Prepares telehealth room and equipment prior to scheduled appointments, make sure successful video connection has been made and stand by during consult to provide technical assistance
- Performs skilled keyboarding and accurate data entry in a fully integrated electronic medical record system
- Collects and reconcile cash/credit card co-pays and service fees from clients upon registration
- Provides general administrative support for the program including filing, typing, copying, data entry and faxing in a prompt, efficient and cooperative manner
- Min of HS diploma or GED
- Min two years of experience in front office, customer service or related field - behavioral health experience a plus
- Professional interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community
- Demonstrated ability and willingness to learn, strong attention to detail, positive attitude and ability to be flexible and embrace change in a fast-paced environment
- Commitment to strong customer service focus rooted in empathy
- Excellent time management and prioritization skills to handle and manage high volume of calls
- Organizational skills to prioritize workload and meet deadlines, develop and carry-out project assignments in an efficient and timely manner and to provide accurate and succinct documentation of activities.
- Ability to interact effectively with persons of widely diverse roles, backgrounds, cultures, and socio-economic classes, those in crises or resistant or negative toward organization
