Administrative Assistant - Full TimeJoin a supportive team who values Compassion, Excellence, Collaboration, Inclusion, Hope, & Authenticity!As our Administrative Assistant, you will be working closely with the Intake and Administrative teams, functioning as a primary point of contact and an information source for new and existing Southlight clients. You will be responsible for a variety of tasks including greeting and scheduling clients and visitors, contacting clients to remind them of appointments, collecting copays and service fees, answering and routing calls and keeping paperwork organized.The perfect fit for this role will have prior experience working in a behavioral health setting!Pay$18.00 per hour.ScheduleMonday-Friday, 8am - 4pm.BenefitsBeing a part of a non-profit behavioral health organization has some unique benefits, along with our incredible health insurance options. SouthLight is also an approved employer for the Public Student Loan Forgiveness (PSLF) program.Job Responsibilities of an Administrative Assistant
  • Provides check-in services for all scheduled client appointments
  • Responsible for in-person and phone support, providing information regarding treatment services and general inquires and connecting to the appropriate source
  • Utilizes electronic medical record to assist clients and staff with scheduled appointments
  • Runs reports to verify accuracy of client information and staff schedules
  • Makes daily appointment reminders to clients via phone and/or email
  • Coordinates with Administrative Support Coordinator to prepare and process new client intake paperwork and assist with scheduled intakes
  • Prepares telehealth room and equipment prior to scheduled appointments, make sure successful video connection has been made and stand by during consult to provide technical assistance
  • Performs skilled keyboarding and accurate data entry in a fully integrated electronic medical record system
  • Collects and reconcile cash/credit card co-pays and service fees from clients upon registration
  • Provides general administrative support for the program including filing, typing, copying, data entry and faxing in a prompt, efficient and cooperative manner
Qualifications of an Administrative AssistantEducation and Experience
  • Min of HS diploma or GED
  • Min two years of experience in front office, customer service or related field - behavioral health experience a plus

  • Professional interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community
  • Demonstrated ability and willingness to learn, strong attention to detail, positive attitude and ability to be flexible and embrace change in a fast-paced environment
  • Commitment to strong customer service focus rooted in empathy
  • Excellent time management and prioritization skills to handle and manage high volume of calls
  • Organizational skills to prioritize workload and meet deadlines, develop and carry-out project assignments in an efficient and timely manner and to provide accurate and succinct documentation of activities.
  • Ability to interact effectively with persons of widely diverse roles, backgrounds, cultures, and socio-economic classes, those in crises or resistant or negative toward organization
  • Ability to use an electronic medical record system
