Part-Time Bookkeeper and Executive Assistant

- Maintain up-to-date financial records through regular bookkeeping and reconciliation of all income, expenses, assets, and liabilities.
- Manage accounts payable and receivable using Bill.com and Xero, processing an average of 30 bills monthly.
- Handle monthly California sales tax form preparation and remittance.
- Prepare and present financial statements monthly, including Balance Sheet, Profit and Loss, and Payout Liability Reports.
- Assist with end-of-year tasks, such as 1099 filing for Independent Contractors and coordination with CPA for tax preparation.
- Utilize software tools such as Xero, Dropbox, Expensify, and Bill.com efficiently, providing training and support as necessary.
- Perform additional tasks including ordering inventory, scheduling meetings, booking assets, and overseeing various back-end operations.
- Manage merchant bank deposits and credit card payouts, including tracking liability per client.
- Coordinate monthly profit-sharing processes, including bill creation in Xero and payment processing in Bill.com.
- Ensure accurate sales tax management and filing in California, including training on Expensify for receipt management or continuation with Expensify as preferred.
- Proven experience in bookkeeping and executive assistance, preferably in a similar industry.
- Proficiency in accounting software, particularly Xero or Quickbooks, and familiarity with Bill.com, Expensify, and Dropbox.
- Strong understanding of financial principles and ability to prepare detailed reports.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively.
- Excellent communication skills, both verbal and written.
- Self-motivated with the ability to work independently and as part of a team.
- Competitive salary based on experience. Starting @ $35/hr.
