Works under the general supervision of the Recreation Superintendent.
SUPERVISION EXERCISED
Provides close to general supervision to Recreation Assistant(s) and Part-time or Seasonal Volunteers.
ESSENTIAL FUNCTIONS
Staffing Administration & Oversight: Supervise Recreation Assistants following recreation center procedures and safety policies, practices and procedures; engages in and oversees customer service and clerical work; supervise Recreation Assistants in scheduling, procedure, conduct and clerical duties; keep official records and reports; produce a variety of statistical reports; prepare and write short reports; maintain appointment calendar and arrange reservations made for facilities.
Stay informed of pertinent new rules and regulations; maintains various operational records, make additions or resolve discrepancies consulting with department head or employees as appropriate;
Front Desk Functions: Performs complex secretarial duties for department; collect and compile information for the office; handles a variety of administrative duties; keeps advised of daily activities; take and transcribe complex and/or confidential dictation; operates computer and various applications to document activities and enter data.
Financial Processes & Payroll: Maintain general accounting and billing; facilitate payroll deduction for memberships offered by department; assist in payroll preparation; balance cash receipts and prepares for deposits; coordinate with finance department in record keeping; codes expenditures and revenues according to financial protocol and guidelines.
Serves as recreation center purchasing agent; establishes effective working relationships with venders and service providers; prepares purchase orders for various departments, including parks & recreation, golf course & maintenance, and shooting range; prepares and processes accounts receivable
Customer Relations & Processes: Compose and process a variety of correspondence through reports, emails, telephone calls, billing and letters; examine for accuracy and completeness office correspondence and documents; receive, screen, route and process mail, telephone calls and personal visitors to appropriate individuals; collect and receipt fees; oversee safety and customer service of facility; handle questions, concerns and complaints regarding department function and procedure.
General Office Duties: Order and confirm acquisition of office supplies; maintains effective working relationships with vendors and suppliers.
