- Oversee the day-to-day functioning of the office ensuring that administrative processes run smoothly.
- Assist Sales Team with the coordination and planning of Customer visits to ensure a positive experience.
- Arrange in-house day events with Customers and manage setting up meeting rooms.
- Ability to interface well with-and develop-a rapport and positive relationship with clients and colleagues.
- Provide day-to-day administrative support to the Operations leadership team, ensuring timely follow-up on action items and meetings.
- Prepare agendas, make travel arrangements, and maintain calendars for executive team and other senior members of Management.
- Support reconciliation and processing of Expense Report for the employees supported.
- Coordinate on-and-offsite meetings including lunch planning for larger meetings.
- Plan and oversee meeting logistical details, whether virtual or in-person, including location, IT and media requirements (such as video and conferencing software), catering needs, and other arrangements, as required.
- Track and replace office supplies as necessary to avoid interruptions in standard front office procedures. Including managing the inventory for the beverages of the event refrigerators.
- Support with coordinating companywide employee engagement events.
- Act as key contact for key suppliers (vending, coffee, shredding, printing, office supplies, beverages, etc.).
- Manages front-office voicemail and mailbox, physical mail, and main building entry.
- Perform general administrative duties including data entry, filling and document preparation.
- Maintain and organize operational records, files, and documentation, ensuring accuracy and confidentiality.
- Handle confidential information with integrity and discretion.
- Support leadership team with administrative duties as needed.
- Bachelor’s or associate degree in Marketing, Business, or relevant field experience.
- Skilled with Microsoft Office Suite.
- Experience in event planning, vendor management a plus.
- Project management abilities, detail oriented, organized and focused on accuracy.
- Excellent communications (written and oral), interpersonal and problem-solving skills.
- Strong work ethic and demonstrated history of initiative, drive, and self-direction.
- Proficiency at juggling multiple projects, tasks, and deadlines.
- Collaborative team player who embraces constructive criticism and can adapt to change easily.
- Onsite presence, highly dependable and available during off hours if support with travel arrangements.
