Company Unit: Centennial Farms DairyDepartment: MaintenanceReports To: Plant Engineer / Maintenance EngineerTitle: Maintenance PlannerJob Summary:The Maintenance Planner/Scheduler will promote SAFETY, QUALITY, RELIABILITY, in all activities conducted by the maintenance department. The primary role of the Maintenance Planner/Scheduler is to improve work force productivity and work quality by eliminating in advance potential delays and obstacles through proper planning and coordination of labor, parts and materials.The Maintenance Planner/Scheduler is responsible for the planning and scheduling of all maintenance work performed in all areas, is responsible to maintain appropriate records and files to permit meaningful analysis and reporting of results or work done.Essential Job Functions:
  • The planner receives all work order request from the requesting areas. All work order request are reviewed and screen to insure the work scope is clearly described. Check if the priority is realistic and provide practical lead-time, cost and other coding is complete and accurate, and authorization is proper.
  • Creates a properly filled out work order for all needed or approved work order request. If need is questioned and not readily resolved with requesting department, refers the work order request to the Maintenance Manager for approval.
  • Examines unplanned work orders and determines best way to accomplish the work. Consults with the Maintenance Manager when necessary.
  • Obtains blueprints, drawing, instructional manuals and special procedures, as needed, from files or job packets in order to clarify the intent of the work order.
  • Works closely with the Purchasing Clerk for timely delivery of parts & equipment.
  • Identifies and obtains determinable materials, entering material needs on the work order.
  • Ensures the safety needs are given a top priority in work planning.
  • Estimates each work order showing sequence of steps, the number of mechanics and required labor-hours for each step. List any special tools or equipment.
  • Estimates cost for each work order in terms of direct labor, materials required and total cost.
  • Maintains backlog of work orders awaiting scheduling (Ready) and unplanned work orders (Hold), which also have delay codes entered on work order. Once a job is planned and estimated, prior to scheduling, the Planner verifies the availability of parts, materials and special tools required for it executions.
  • Have complete knowledge of PM workload in order to better schedule work orders.
  • Develops a maintenance work schedule for the Maintenance Manager. From the backlog files of the ready work orders, selects a group of work orders with labor requirements matching the capability of the identified work force, taking into account any work carry over from jobs previously scheduled. Identifies any known skill requirements. Allocates labor and coordinates these requirements through Maintenance Supervisor and Maintenance Manager.
  • In the selection of jobs for scheduling, meeting the deadlines established by the requesting department and maintaining the preventive maintenance schedule is essential. If any work orders cannot be scheduled within the prescribed priority lead time, the requesting department management and the requester are promptly notified so that appropriate action can be taken to get the work done in a satisfactory and timely manner.
  • Conducts weekly meeting with the Maintenance Manager & Production & Project Engineer and participates in the overall plant scheduling of the following week’s work and helps negotiates for downtime windows during which preventive and corrective maintenance can be performed.
  • Finalized the Maintenance Work Schedule and the PM Work Schedule by Thursday at 1:00 pm, ensuring that the work scheduled balance with the man-hours available so that a full day’s work is provided each person.
  • On the basis of firm work schedules, coordinates the checkout and staging of all predetermined parts, materials and special tools and ensures that the equipment to be worked on will be available and ready.
  • Issues approved schedules together with relevant work orders and other planning documents to the Maintenance Manager. All work orders except emergencies come through the planner.
  • Discusses planning packages as necessary with special instructions or considerations to be observed in the execution of the jobs and reviews new jobs coming up in the future.
  • Follows up to ensure the completed schedules and work orders are returned at the proper time. Carefully reviews completed schedules and corresponding work orders submitted by the Maintenance Manager and monitors work order progress for any reports necessary.
  • Provides the clerk with all documents for reporting and/or closeout.
  • Promote the conservation of energy and resources.
  • Maintains a ready package of schedulable work orders which require equipment to be shut down so that some or all of them can be performed in the event of an unscheduled shutdown of that equipment. These unscheduled shutdown work orders are prepared, reviewed, and updated weekly.
  • Develops a file of standard work orders (plans) for regularly recurring repair jobs, based on historical experience, to simplify the planning process.
  • Review the actual labor expended versus estimated labor and materials used for completed jobs, in order to determine corrective measures needed to improve the accuracy of estimating and improving methods of doing work.
  • Keeps the Maintenance Manager properly informed on all abnormal or critical situations and seeks advice on matters outside of the planner’s knowledge or authority.
  • Make recommendations for system improvement
  • Maintains necessary records and files and prepares and distributes meaningful and accurate control reports.
  • Labor effectiveness of the department as measured by work sampling.
  • Orderly placement of work orders on the schedule and their completion within the specified time frame.
  • Jobs worked and completed per schedule.
  • Improvement in mean time between equipment failures (MTBF).
  • Improved (Key Performance Indicator’s) labor effectiveness in direct work time of all mechanics, overtime, and reduced labor turnover as set by department goals and targets
  • The accuracy of estimates of labor and material.
  • The improved use of labor and improved plant condition as expressed by a reduction in emergencies, overtime hours worked and in unscheduled labor worked.
  • The timely and accurate preparation and distribution of meaningful control reports.
  • Perform all other duties as assigned by manager.
Degree of Responsibility Exercised in position:To ensure the production areas of functions receive the prompt, efficient and quality service from the maintenance function they need in order to operate at a high level of efficiency. To ensure the maintenance function is given the opportunity to provide production with the service it requires. Accurately define and estimate work request and properly prepare and distribute meaningful control reports.Education, Prior Work Experience, Specialized Skills, Knowledge:
  • Mechanical/Electrical background necessary and tech school background desired.
  • Have adequate craft knowledge to estimate man-hours and materials and to visualize the job to be performed.
  • Should have good oral/written communication skills and possess tact.
  • Good administrative and mathematical skills with willingness to handle paperwork.
  • Working knowledge of computer system input, retrieval and use or the ability to learn in a reasonable training period. Includes Word, Excel, MS Project, and PowerPoint & FRIT.
  • Have good planning and organizational skills.
  • Ability to understand what constitutes good instructions.
  • Able to read blueprints and shop drawings.
  • Understanding of the proper use of work orders, priorities, scheduling, and planning.
  • Ability to keep multiple jobs in controlled motion - simultaneously.
  • Sound troubleshooting skills.
  • Thorough knowledge of EMPAC system.

Quality:Follow all departmental Good Manufacturing Practices: no candy or gum allowed in the production area; hairnets, safety steel toed shoes, and bread nets (if applicable) must be worn in all production areas; no false eyelashes, false finger nails, finger nail polish or heavy makeup; no jewelry of any kind; no eating in production areas; CFD (clean) uniform must be worn.
  • Will follow established programs, policies and practices to produce safe quality foods that meet regulatory and company requirements.
  • Will be accountable to the Kroger Manufacturing Food Safety and Quality Principles.
  • Will support the development, implementation, maintenance and ongoing improvement of the SQF 2000 Systems.
  • Back up for the SQF process is the Maintenance Engineer.
Reliability:
  • Must participate in and contribute to problem solving teams.
  • Must understand OKEA process.
