- Bachelor's or associate degree in business or healthcare related field
- Five years of medical office administration, including at least one year in the associate specialty setting
- Additional courses in medical terminology and practice management preferred
- Medical records certificate useful
- Experience in specialist/surgical practice with referral coordination
- Ability to operate autonomously with limited oversight, and ability to think proactively towards next steps for achieving goals and adding value.
- Ability to operate strategically and problem-solve complex, dynamic issues related to plan execution and implementation.
- Demonstrated track record of tenacity when faced with ambiguity, changing priorities, or challenges.
- Competency across Microsoft Office applications: PowerPoint, Excel, Word, and other products strongly preferred.
- Excellent communication and interpersonal skills, with the ability to work effectively with a diverse range of individuals, teams, leaders, and external stakeholders to establish and achieve common goals.
- Assist site staff to develop and implement short- and long-term work plans and objectives for clerical and clinical functions.
- Assist site staff in understanding/implementing organizational policies and procedures.
- Develop guidelines for prioritizing work activities, evaluating effectiveness and modifying activities as necessary.
- Help site staff establish deadlines for work assignment and completion. Monitor work status and progress.
- Identify, analyze and resolve work problems with the support of Practice Management personnel.
- Ensure that the staff receives appropriate training and employment development.
- Evaluate staff performance and recommend merit increases in accordance with established budget and merit increase program, promotions as appropriate and improvement actions.
- Develop and maintain an efficient patient management system in order to effectively follow-up for repeat diagnostic procedures and clinical evaluations for all patients.
- Facilitate ancillary care for patients who require such care.
- Establish and maintain referral systems to panel physicians serving other specialties.
- Establish guidelines for appropriate referrals and effective surgical scheduling system based upon procedures performed and the framework created by the providers.
- Coordinate transcription services with transcriptionist.
- Assist billing and utilization review in the process of identifying ways to enhance revenue while ensuring compliance.
- Develop and maintain system to ensure all procedures are pre-authorized and authorizations for treatment are maintained.
- Handle various personnel matters including forms, documentation and procedures as required.
- Monitor and track provider's licenses, credentialing, medical memberships and certifications. Complete forms/processes when necessary.
- Attend required meetings and participates in committees as requested.
- Participate in professional development activities.
- Maintains strictest confidentiality of patient records as well as proprietary business issues.
- Prepare and submit payroll information to the payroll department for providers and staff.
- Manage necessary facility and equipment repairs.
