Our top-tier benefits and great retirement packages can help you build a rewarding career and lasting future with the State of Illinois.Position OverviewUnder general direction of the Property/Inventory Control Supervisor, Office of Business Services, administers and coordinates statewide inventory functions for the Department of Human Services (DHS). Coordinates inventory control operations within the Mental Health Centers and Developmental Centers to maintain compliance with the provision of the State Property Control Act. Travels to conduct the physical inventory as mandated by a combination or individual certifications or reconciliations provided by the facilities.Essential Functions
- Serves as Property Control Inventory Liaison.
- Assists facilities in coordinating the tracking of equipment within the Enterprise Resource Planning/Systems, Application and Products (ERP/SAP) Inventory system, such as property transfers, addition of items, deletion of items, adjustments to purchase price, inventory tag numbers, location codes, etc., and ensures that inventory system reflect changes accurately.
- Coordinates the update of inventory changes in the ERP/SAP inventory system, entering updates based on completed/signed transfer, addition, deletion documentation.
- Acts as Property Control liaison with facilities on inventory certification issues, coordinates with Property Control Manager to ensure accurate information and/or documentation is provided to the facility.
- Assists with Property Control physical inventory of locations, as determined by DHS Property Control Manager.
- Works with DHS Property Control Supervisor and Property Control Training Coordinator to ensure parties at the facilities, are responsible for property functions and receive training on DHS rules and procedures for Property Management periodically, or upon change in personnel.
- Performs other duties as required or assigned which are reasonably within the scope of duties of position.
- Requires knowledge, skill and mental development equivalent to completion of four (4) years of college, preferably with coursework in business or public administration.
- Requires one (1) year of responsible administrative experience in a public or business organization, or completion of an agency approved professional management training program.
- One (1) year of professional experience completing physical inventories for a public or private organization.
- One (1) year of professional experience completing the inventory certification process.
- One (1) year of professional experience completing requests for additions, transfers and retirements of fixed assets for a public or private organization.
- One (1) year of professional experience utilizing database and spreadsheet software such as Access, Excel, etc., to create specific transaction reports, as well as tracking/updating in a system such as ERP/SAP inventory system.
- One (1) year of professional experience communicating effectively both orally and in writing.
- One (1) year of professional experience analyzing administrative problems and adopting an effective course of action.
- Requires physical ability to bend, stoop and kneel.
- Requires the ability to lift and carry up to 50 lbs. independently.
- Requires ability to travel in the performance of duties, with overnight stays as appropriate.
