- Coordinating across clients, attorneys, and staff to keep projects on track, especially when multiple people or practice areas (like estate planning, corporate, or real estate) are involved
- Maintaining hands-on client contact through emails, calls, and follow-ups to gather information, schedule meetings, and answer process questions
- Managing tasks and timelines for each client matter, and keeping track of what’s done, what’s outstanding, and making sure nothing falls through the cracks
- Preparing standard legal documents like powers of attorney and entity filings, and coordinating related tasks such as signatures and Secretary of State filings
- Contributing to operational efficiency by improving how information is tracked, organized, and shared, especially when it comes to internal systems or billing workflows
- Using tools and tech thoughtfully, from Microsoft Office to AI-based productivity tools, to streamline repeatable tasks and improve the client experience
- Providing steady, proactive support that allows the attorney you support to stay focused on legal strategy, whether that means anticipating needs, managing client communications, or simply keeping everything in motion
- Customer service background - we welcome all forms of experience, as long as you’ve delivered a service and done it well (hospitality, retail, frontline healthcare, professional services, it’s all welcome)
- Proficiency with Outlook, Word, and Excel
- Comfortable talking on the phone
- Able to write clear, professional emails
- Demonstrated self-leadership (you manage your time, priorities, and follow-through without needing close supervision)
- Understands how a law firm works
- Paralegal background (certificate is fine, but not required)
- Experience in working with financial professionals
- Support role experience - especially where coordination and follow-through were key
- Certified Trust and Fiduciary Advisor (CTFA) certification is wonderful!
- Local is even better!
