- Executive Support: Partner closely with Clinical leadership to manage calendars, coordinate complex meetings, and keep priorities and deliverables on track.
- Communication & Coordination: Serve as a liaison with internal stakeholders and external partners (e.g., investigators, site staff, vendors), ensuring clear, timely communication.
- Travel Management: Plan and book domestic and international travel for Clinical team members and key external stakeholders. Manage itineraries, logistics, and last-minute changes with ease.
- Event Planning: Organize and execute offsite events such as investigator meetings, trainings, and team dinners—handling all details from venue booking to material prep.
- Expense & Administrative Support: Process expense reports, reimbursements, and other administrative tasks with accuracy and timeliness.
- Trial Support: Assist with administrative tasks related to clinical trials, including document tracking, file organization, and presentation preparation.
- Process Improvement: Anticipate needs, identify inefficiencies, and recommend solutions to streamline operations and reduce administrative burdens.
- Team Representation: Act as a reliable point of contact—representing the Clinical team with professionalism and care in every interaction.
- Minimum 5 years of administrative experience, with at least 2 years supporting senior leaders; experience in life sciences, healthcare, or a high-growth, fast-paced environment strongly preferred.
- Demonstrated ability to manage complex schedules, prioritize competing demands, and maintain attention to detail.
- Exceptional written and verbal communication skills.
- Discreet and trustworthy with confidential information.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration platforms (Teams, Zoom, etc.).
- Experience coordinating multi-leg, international travel and logistics.
- Proven success planning events across time zones and unfamiliar locations.
- Strong sense of urgency and ownership; you anticipate needs and take initiative.
- Professional and confident in representing leadership externally.
