We’re seeking a highly organized and proactive Senior Administrative Assistant to support our fast-paced Clinical team. In this role, you'll be the operational backbone—managing schedules, coordinating logistics, and enabling leaders to focus on advancing critical clinical trials.   • Executive Support: Partner closely with Clinical leadership to manage calendars, coordinate complex meetings, and keep priorities and deliverables on track.
  • Communication & Coordination: Serve as a liaison with internal stakeholders and external partners (e.g., investigators, site staff, vendors), ensuring clear, timely communication.
  • Travel Management: Plan and book domestic and international travel for Clinical team members and key external stakeholders. Manage itineraries, logistics, and last-minute changes with ease.
  • Event Planning: Organize and execute offsite events such as investigator meetings, trainings, and team dinners—handling all details from venue booking to material prep.
  • Expense & Administrative Support: Process expense reports, reimbursements, and other administrative tasks with accuracy and timeliness.
  • Trial Support: Assist with administrative tasks related to clinical trials, including document tracking, file organization, and presentation preparation.
  • Process Improvement: Anticipate needs, identify inefficiencies, and recommend solutions to streamline operations and reduce administrative burdens.
  • Team Representation: Act as a reliable point of contact—representing the Clinical team with professionalism and care in every interaction.
Qualifications:
  • Minimum 5 years of administrative experience, with at least 2 years supporting senior leaders; experience in life sciences, healthcare, or a high-growth, fast-paced environment strongly preferred.
  • Demonstrated ability to manage complex schedules, prioritize competing demands, and maintain attention to detail.
  • Exceptional written and verbal communication skills.
  • Discreet and trustworthy with confidential information.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration platforms (Teams, Zoom, etc.).
  • Experience coordinating multi-leg, international travel and logistics.
  • Proven success planning events across time zones and unfamiliar locations.

Salary of $70-85K annually
