Reporting to the Senior Director of Planning and Operations, the position supports the Senior Director in the preparation of several key finance reports, budgetary analyses and ad hoc operational statistics to inform financial understanding and executive decision-making. This position also works closely with the operations team on vendor and contract management by coordinating timely purchases and contract executions, maintaining vendor relationships, and providing issue resolution. Under direction from the Senior Director, the Operations Analyst I will also participate in HR activities such as personnel requisitions, status changes, on and off-boarding, and will support staff as a resource. Work assignments may include specific project tasks, project-related activities, and small, independent projects.Principal Duties and Responsibilities
  • Reporting to the Senior Director and working in close collaboration with the operations team and project teams, supports core business processes for financial planning, vendor and contract management, and HR operations.
  • Assists with the gathering and analysis of budgetary information for forecasting across internal teams as well as across MGB sites that utilize Digital platforms and services.
  • Prepares financial reports and analyses, including operational and capital forecasting, and maintains relevant financial and management data related to operational needs and projects.
  • Supports operations team with vendor and contract management activities including contract initiation and execution, obtaining appropriate approvals, and processing requisitions and invoices.
  • Maintains audit trail and accurate records of financial documents associated with each vendor. Reviews vendor terms in detail and provides issue resolution for day-to-day aspects of vendor management.
  • Fosters collaborative partnerships with Supply Chain Management and vendors.
  • Participates in various meetings leading up to contract execution and payment.
  • Provides in-depth knowledge and support to various internal departments and team members.
  • Maintains a thorough understanding of MGB and Digital financial policies, accounting and analytical systems, and relevant business processes.
  • Participates in HR activities including personnel requisitions, status changes, hiring, mandatory training requirements, and on and off-boarding of personnel, including temporary and consultant-funded positions.
  • Supports staff as a resource in enterprise-wide systems implementations.
  • Schedules and assists with facilitating meetings with senior leaders, Digital Finance, HR, and Supply Chain Management, including creating agendas, providing minutes, and capturing key action items.
  • Assists with creating communication and other project or operations-related materials to launch and implement new processes and innovative ideas aimed at improving the efficiency and scalability of services offered by the team.
  • Participates in the execution of Digital Patient Experience operational activities including but not limited to: communications, training and development, Digital Patient Experience portfolio reporting, and virtual care operations transformation activities.

QualificationsQualifications· Bachelor’s degree required; financial, accounting and/or supply chain management experience is a plus.· Must have 2+ years of experience providing project management, accounting, sales analysis/support, or operations support, ideally in a healthcare setting
  • Experience analyzing and reporting data to identify issues, trends, or exceptions to drive improvement of results and find solutions. Knowledge of data analysis tools such as SQL or Tableau is a plus.
· Must have experience working with large teams and with driving conversations and decisions across multiple workstreams.
  • Strong PC / Microsoft application skills including Word, Excel, SharePoint, Visio, Teams, PowerPoint.
· Experience with Help Desk software, such as Service Now a plus.· Customer services/support experience is a plus.· A combination of education and experience may be substituted for requirements.Skills/Abilities/Competencies· A suitable level of understanding of project management, finance, accounting, sales, and vendor management disciplines and tools, and the skills necessary to apply them.· Strong interpersonal and communication skills, both written and verbal.· Ability to present to and interact with senior levels of leadership.· Excellent organizational skills and attention to detail a must, manage multiple tasks and projects, meet deadlines, follow through, and manage to schedule.

Working ConditionsThe work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.· This position requires occasional local travel to MGB sites, vendors, and/or conferences.· Hospital work environment working conditions include possible exposure to diseases or infections a.nd may require safety gear (PPE) such as gloves and mask.
  • Normal office working conditions. The noise level in the work environment is quiet to moderate.
· While performing the duties of this job, the employee is frequently required to sit; talk; or hear; use hands to finger; handle; or feel; reach with hands and arms. The employee is occasionally required to stand; walk; and stoop; kneel; or crouch.
