/IiEstablishes, develops, maintains, and updates filing system for the department. Retrieves information from files when needed. Establishes, develops, maintains, and updates library of journals and magazinesOrganizes and prioritizes large volumes of information and callsSorts and distributes mailDrafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for informationAnswers phones and takes messages or fields/answers all routine and non-routine questions. Works in cooperation with other system development assistants to cover phonesActs as a liaison with other departments and outside agencies. Handles confidential and non-routine information and explains policies when necessaryWorks independently and within a team on special nonrecurring and ongoing projectsTypes and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copySupports market data analyst in maintenance of the department finances. Activities include copying check requests and sending to accounts payable travel reimbursement and documenting corporate credit card expenses to corporate financeSKILLS, EDUCATION AND EXPERIENCE:To perform this job successfully, you must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.Job PostingJob PostingWhat you’ll do:The Administrative Assistant helps to maintain property operations and to attract and serve guests and residents.Your job will include:Greet guests in a professional and friendly manner.Maintain open communications with all property and regional staff.Work closely with management to develop an integral team that effectively represents the quality and professionalism of the company.Process accounts payable within the automated accounting system.Assist in processing procurement card reconciliations.Organize and maintain files and order office supplies.Research and implement company-sponsored activities.Attend and participate in training programs and seminars as required.Handle inquiries by telephone in order to back up property staff.Run errands, including delivering various communications to guests or residents, as needed.Perform other miscellaneous duties as assigned.Experience & skills you need:High school diploma, or the equivalent experience.1+ year of office experience.Strong communications and organizational skills.Meticulous attention to detail.Proficiency with computers, preferably Microsoft Word, Excel and/or automated accounting systems.Willingness to work a flexible schedule, including weekends.
