- Manage various shared mailboxes and electronic fax.
- Answer telephones, transfer calls, take messages, and provide information to callers.
- Greet visitors and handle inquiries or direct them to the appropriate persons.
- Schedule and manage appointments, meetings, and other events for program management and program resources.
- Compose, type, and distribute various correspondence, meeting notes, and reports.
- Perform purchasing activities for DHRM.
- Perform duties of the HR Technology Representative and Printer/Copier Maintenance.
- Track and coordinate program assignments.
- Review assignments completed by others, revise, and recommend revisions.
- Open, read, route, and distribute incoming mail or other materials.
- Coordinate information and act as liaison to executives, employees, and hosted agencies.
- Interact with customers and colleagues in a courteous and professional manner.
- Efficiently utilize program databases, applications, and Microsoft Office Suite.
- Perform other duties and special projects as required.
- Administrative Assistant Trainee 1 (equated to SG-08): Six months of required experience.
- Administrative Assistant Trainee 2 (equated to SG-10): One year of required experience.
- Administrative Assistant 1, SG-11: Two years of required experience OR IAAP Certified Administrative Professional OR associate degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology.
Current New York State employee with one year or more of qualifying permanent service in a position allocated to a Grade 6 or above and eligible for transfer under Section 70.1 of the Civil Service Law.NOTE: IN ORDER TO AWARD THE PROPER CREDIT FOR WORK EXPERIENCE, RESUMES MUST INCLUDE MONTH AND YEAR FOR START AND END DATES.
