Forest Preserve District of Cook CountyJob SummaryUnder general supervision of the Equipment Supervisor I or higher, supports Fleet Maintenance Mechanics, Laborers and Serviceman engaged in the maintenance and repair of motorized mechanical equipment including, but not limited to, snow blowers and plows, heavy duty trucks, front end loaders, tractors, bulldozers, garbage trucks, police cars, and various types of equipment. Supervises inventory control and orders, maintains, and stocks the Parts Department with inventory and necessary parts at the Central Fleet Garage as needed. May assist other District personnel and perform other duties as required.Typical DutiesResponsible for product specification for ordering and stocking equipment, parts, tools, and materials for fleet use.Conducts an assessment of current inventory and directs salvage/recycling of damaged, used, or obsolete equipment and material.Drafts RFPs and RFQs, contract clauses, amendments, and other memoranda or documents as required. Advises the Equipment Supervisor(s) I on the RFQ/P process.Monitors contract processes including contract revisions, time extensions, price increases, negotiated amendments, etc.Assists in ordering, maintaining, and storing inventory of parts, tools, and equipment needed to perform equipment maintenance repairs. Issues items needed for staff to accomplish repairs.Maintains inventory control of parts and materials to ensure availability when needed.Creates an inventory control system and maintains inventory catalogs, maintenance manuals for preventative maintenance schedules and other resource materials for reference use.Locates and provides parts and components to fleet mechanic personnel. Provides information of parts availability or estimated delivery schedules.Conducts cost analysis for parts and items required from non-contract suppliers.Establishes and maintains an effective working relationship with vendors, fleet service personnel, and other related administrative personnel.Orders parts as required, and performs tracking activities, follows up on status of back order items, contracting vendors.Tracks warranties and applies for District reimbursement for all new vehicles as well as any parts that carry manufacturers warranties, if applicable.Maintains work log records manually or via Computer Maintenance Management System (CMMS).Prepares all paperwork related to warranty reimbursement utilizing manufacturers prescribed procedures.Responsible for the effective operations of all parts within the department of Fleet Maintenance.Provides qualitative and quantitative analysis of the performance within Fleet Maintenance.Participates in the annual budget preparation and validates its premise with quantifiable data and initiatives.Stocks items by unpacking, arranging, and placing items in bins and on shelves; adjusting inventory system and assessing all safety risks within the Garage.Estimates demand based on levels of work in the service and repair of vehicles and equipment.Keeps stock of replacement parts that Fleet Maintenance needs in order to carry out scheduled servicing and repairs.Analyzes stock usage to identify fast-moving parts and products that are only required occasionally.Assesses equipment history and analysis of down time.Prepares quarterly report of physical inventory counts of all parts and related inventories.Maximizes use of all order discount programs.Maintains all department tools and equipment in good working order.Submits all parts warranty and return claims within the required time frame to receive maximum credit.QualificationsMinimum QualificationsMust possess high school diploma, GED, or higher.Must possess five (5) years or more of full-time work experience in automotive parts inventory and warehousing experience including automated ordering and inventory tracking systems.Knowledge, Skills, Abilities and Other CharacteristicsKnowledge of methods, materials and tools used in servicing automobiles and related equipment.Familiarity in cross referencing manufacturer automotive parts numbers.Ability to use a computer and a variety of common software packages. Knowledge of standard industry-wide warehouse and receiving practices. Knowledge of automotive preventive maintenance techniques.Ability to exercise good judgment in making decisions.Knowledge of garage safety rules and regulations.Ability to communicate effectively with tact and courtesy.Duties include frequent climbing, lifting, pulling, pushing, balancing, walking, stooping and lifting and moving materials weighing up to 50 pounds.Skill in using computer programs for drafting reports and inventory control and maintenance such as, CMMS, Microsoft Office and Excel.Ability to lifting, pull, push, and move objects of moderate to heavy weight.Knowledge of parts, inventory practices and proceduresStays up to date with common parts inventory procedures and policiesThe duties listed are not set forth for purposes of limiting the assignment of work.
