Job SummaryRMS Associates are charged with providing support to RMS proposal and award teams. Supervised by a Team Manager, the RMS Associate provides support to 6-7 Research Services Coordinators (RSCs) or award team specialists and 1 Team Manager. The RMS Associate is responsible for independently gathering, following-up on proposal and award materials with Principal Investigator (PI), project collaborators and subcontractors as assigned (biosketches, other support, effort and salary information), starting the stages of application preparation, and compiling final documents (includes proper formatting, page limits, updated forms, and ensuring that all components are in order) for proposal submission and award completion. This position will monitor award, report and proposal milestones for RSCs, Specialists and PIs and assist in drafting correspondence such as No Cost Extensions (NCEs), carry-forward requests, and other post award correspondence as assigned by the RSC and Specialist. This position will develop preliminary budget information for proposals and be familiar with the rules and regulations for federal proposals. The RMS Associate will also proactively manage and maintain the electronic document management for the team.The final salary and offer components are subject to additional approvals based on UC policy.To see the salary range for this position (we recommend that you make a note of the job code and use that to look up):Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point.   • BA/BS with a major in a related field and/or the equivalent combination of education and experience.
  • One (1) or more years of experience in administrative analysis, research administration or related work experience.
  • General knowledge and ability to comprehend funding opportunities and compliance regulations in all areas of research administration.
  • Proficiency in web-based proposal management systems such as Cayuse, Proposal Central, Proposal Express, Community of Science, NIH eRA Commons, and PeopleSoft.
  • Strong time management skills and ability to work in a deadline-driven environment. Ability to manage a high volume of transactions, prioritize and organize work; exceptional multitasking skills.
  • Proficient skills in using software applications such as Microsoft Office Suite (Excel, Word, Outlook) and Adobe Acrobat.
  • Excellent communication (verbal and written) and interpersonal skills. Writing skills to draft persuasive text for variety of audiences.
  • Ability to research applicable federal, state, local, sponsor and institutional regulations, policies, and guidelines for information supporting the application process.
  • Ability to perform moderately complex financial analysis and customized reporting.
  • Ability to maintain independent judgment; strong organization; communication skills; proactively take initiative and a customer service focus. Ability to provide quality customer service. Ability to interface with various levels of faculty, staff, departments, external collaborators and funding agency personnel.
  • Demonstrated ability to work in a collaborative team environment.
Preferred Qualifications
  • Knowledge of applicable compliance requirements related to use of human or animal subjects in research, financial conflict of interest, biosafety, etc.
  • Demonstrated knowledge of generally accepted accounting, fiscal and reporting principles, financial budget development, purchasing and reimbursement processes at UCSF.
