Engineering Project Administrator

- Maintain and organize engineering documentation including specifications, technical drawings, project files, proposals, and reports
- Assist in managing project schedules, milestones, and deliverables in collaboration with engineering leadership and program managers using project management tools (e.g., Microsoft Project)
- Support engineering leaders with all logistical aspects of medium and large-scale projects, including documentation and procurement
- Gather and organize supporting documentation for bidding opportunities, technical proposals, and budget planning
- Coordinate cross-functional project meetings with agendas, minutes, and follow-ups; regularly update project status boards
- Interface with internal departments (manufacturing, supply chain, IT, sales) and external partners (vendors, contractors, customers)
- Enter product data into ERP/MRP and PLM systems with accuracy
- Review engineering documentation against checklists to ensure completeness and compliance
- Prepare and edit presentations, technical correspondence, and customer-facing materials
- Research and source prototype materials; solicit vendor quotes and track procurement status
- Manage travel logistics, team calendars, software renewals, shared resource scheduling, and supply orders
- Ensure compliance with documentation control systems, company policies, and industry standards
- Support onboarding and training for new engineering team members
- Perform other duties as assigned by engineering leadership
- Associate’s or Bachelor’s degree in Business Administration, Engineering, or a related technical field preferred
- 2+ years of experience in administrative or project coordination roles, ideally within an engineering or technical environment
- Basic understanding of engineering design processes, terminology, and document control systems
- Familiarity with project scheduling, budgeting principles, and electronic industry standards
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Project, SharePoint, and Visio
- Excellent written and verbal communication skills; technical writing experience is a plus
- Attention to detail, ability to prioritize, and comfort working independently or within cross-functional teams
- Strong organizational and multitasking capabilities in a fast-paced setting
- Experience managing procurement logistics and working with ERP/MRP systems is preferred
- This position requires potential access to technology controlled under the International Traffic in Arms Regulations (ITAR) or the Export Administration Regulations (EAR). The successful candidate must be a “U.S. Person” as defined under ITAR and EAR.
