- Sophisticated Calendar Management: Navigate the intricacies of a dynamic calendar with agility, coordinating high-level meetings, engagements, and events across multiple time zones. You will proactively resolve scheduling conflicts, ensuring seamless availability for critical engagements.
- Communications Liaison: Serve as the primary interface between the CFO and stakeholders at all levels, including board members, donors, and investors. Your exemplary communication skills will be key in managing a high volume of correspondence, prioritizing effectively, and fostering strong relationships.
- Insightful Research and Briefing Preparation: Conduct in-depth research and prepare comprehensive briefing materials for meetings, including agendas and organizational contexts. You will distill complex information into coherent talking points, ensuring the CFO is prepared to navigate sensitive discussions.
- Efficient Travel Coordination: Manage intricate travel logistics with precision, arranging itineraries that reflect the CFO’s preferences, while also managing associated documentation including expense reports and travel reimbursements.
- Governance and Compliance Oversight: Facilitate the smooth operation of executive team meetings, including scheduling, documentation, and follow-up on governance requirements. You will ensure adherence to corporate standards, maintaining accuracy and confidentiality in all reporting.
- Cross-Departmental Coordination: Act as a key liaison with Legal, HR, Finance, and Communications to ensure alignment in the handling of sensitive documents and approvals, fostering a collaborative executive environment.
- Office Management and Optimization: Oversee essential office functions with an eye toward efficiency and improvement, ensuring a conducive working environment that promotes productivity and organizational excellence.
- An associate’s degree is required; an advanced degree or relevant certifications are highly preferred.
- A minimum of 7-10 years of experience in senior executive support, governance coordination, or a related role with proven capabilities in managing high-level interactions.
- Exceptional written, verbal, and interpersonal communication skills with a track record of drafting and editing high-stakes documents with accuracy and professionalism.
- Advanced proficiency in Microsoft Office Suite, Teams, Adobe Acrobat, and familiarity with Board portals.
- Superior organizational skills and an aptitude for prioritizing tasks effectively within a fast-paced environment.
