Our team works collaboratively across locations to provide operational, clinical, and financial support that empowers dental professionals to thrive.The Clinical Operations Analyst plays a key role in enhancing the financial and operational performance of dental practices across the organization. This hybrid position blends financial analysis, revenue cycle management, and operational support. Working collaboratively with clinical teams, practice managers, billing staff, and leadership, the analyst is responsible for monitoring key performance indicators (KPIs), optimizing insurance and collections processes, and ensuring data accuracy. Through strategic insights and process improvements, this role supports informed decision-making that drives efficiency, elevates patient care, and increases overall profitability.**While this role will primarily be remote, it will require occasional travel to Cherry Tree Dental clinical sites, work locations, vendor locations, therefore candidates should be within a reasonable distance of Madison, WI.**What You'll Do:
  • Manage the full insurance claim lifecycle, including verification, submission, follow-up, and appeals.
  • Investigate claim rejections and denials, collaborating with billing teams to resolve issues and secure timely reimbursements.
  • Monitor aging reports and lead coordinated follow-up efforts across multiple dental offices.
  • Set up and maintain insurance plans and fee schedules in practice management system (Dentrix Ascend).
  • Oversee ERA/EFT enrollments and payer portal access, ensuring seamless remittance workflows.
  • Reconcile posting discrepancies and correct misapplied or misallocated payments.
  • Track and analyze KPIs such as production, collections, A/R, no-show/cancellation rates, and patient retention.
  • Evaluate provider productivity (e.g., chair utilization, procedures per provider) and hygiene recall effectiveness.
  • Identify inefficiencies in scheduling, billing, and patient flow, and recommend targeted improvements.
  • Deliver recurring and ad hoc reports on revenue performance by provider, location, and service line.
  • Analyze payer mix, reimbursement trends, and underpayments to identify opportunities for revenue optimization.
  • Present actionable insights to support leadership in strategic planning and operational decisions.
  • Conduct routine audits to ensure billing accuracy and compliance with CDT coding and payer policies.
  • Standardize insurance data, billing workflows, and fee schedules across practices and systems.
  • Support practice management system (PMS) migrations, updates, and integration initiatives.
  • Develop and maintain training materials for billing procedures, portal usage, eligibility checks, and ERA/EFT setup.
  • Provide onboarding and ongoing training to front office and billing staff.
  • Serve as a subject matter expert on insurance policies, billing protocols, and claim troubleshooting.
What We're Looking For:
  • Bachelor's degree in healthcare administration, business, data analytics, or related field.
  • Education and related work experience can be considered in lieu of Bachelor's Degree.
  • Prior experience in a Dental Support Organization (DSO) or multi-location dental practices preferred.
  • Proficiency in Microsoft Excel, including pivot tables, advanced formulas, and data visualization.
  • Experience with dental practice management software (e.g., Dentrix, Open Dental, Eaglesoft).
  • Strong knowledge of dental insurance billing, CDT codes, and payer-specific requirements.
  • Hands-on experience with insurance setup and financial workflows in dental PMS platforms, especially Dentrix Ascend.
  • Deep understanding of claims processing, A/R management, denials, and appeals.
  • Excellent verbal and written communication skills, with the ability to present data to non-technical stakeholders.
  • Excellent time management skills with a proven ability to meet deadlines.
